Overview
Job Description: Full time, Monday — Thursday 9:00am-4:00pm, Friday 9:00am-1:00pm
Parish Coordinator is responsible for working closely with the Clergy, staff, and volunteer leaders to support the overall ministry of the church. Under the direction of the Rector, he/she will attend to a wide variety of responsibilities, which include serving as the primary representative of the church for those who contact or come into the office.
Qualifications
- Minimum two years clerical or administrative experience.
- Excellent organizational skills with attention to detail.
- Strong computer skills including proficiency with Microsoft Office Suite (Word, Publisher, PowerPoint, Excel and SharePoint); and capacity and desire to learn new software programs and applications.
- Proficient with email and calendar management.
- Familiar with Adobe Acrobat Pro and Creative Suite (PDF forms, Photoshop, Illustrator, InDesign, Premiere Pro, Lightroom).
- Familiar with WordPress.
- Comfortable with technology and trouble-shooting technical issues.
- Experienced in preparing printed and digital material/content.
- Ability to multi-task and work under pressure.
- Strong interpersonal and communication skills.
- Patient and good listener, caring, and people oriented.
- High degree of discretion and integrity dealing with sensitive information.
- Professional appearance and demeanor.
Responsibilities
(include, but are not limited to, the following)
General
- Work closely with others to further the vision and mission of the church.
- Serve as assistant to the Rector, other clergy, and staff.
- Answer the door and greet visitors during office hours.
- Answer emails, phone calls, and other communication received by the church. Pass along relevant information to the appropriate parties.
- Send emails, write letters, and make phone calls on behalf of the church.
- Manage and order office supplies.
- Manage copier with supplies, page counts and service calls.
- Train and supervise office volunteers.
- Assist with registration and logistics for Parish Life events.
- Participate in weekly staff meetings.
Calendar
- Maintain the Rector and other clergy members’ calendars, scheduling appointments as requested.
- Manage and distribute the church calendar, seeing to it that all events and meetings are included.
- Coordinate building usage requests and maintain calendar.
Parish Registrar
- Help to maintain an accurate database (Realm) of members, prospects, visitors, and former members.
- Contact parishioners to obtain missing and updated information.
- Process Letters of Transfer.
- Enter new members in Realm and in appropriate registry books.
- Create and manage events.
- Help coordinate baptisms, confirmations, weddings, and funerals.
- Intake information from the participants/parents.
- Prepare certificates for baptisms and weddings.
- Prepare bulletins for weddings and funerals.
- Coordinate the scheduling of rehearsals and other preparations.
- Update Realm and upload relevant certificates.
- Record sacraments in appropriate registry books.
- Coordinate and track parishioner completion of Safeguarding courses.
- Provide input for Parish Annual Report and Parochial Report.
- Manage Constant Contact with updating contacts when needed and mailings.
- Order nametags.
Communications
- Provide support for the Priest Associate for Communications, as requested.
- Proofread and print bulletins and Weekly Compass for Sunday services.
- Collect information from Clergy, staff, Vestry, and ministries for Annual Report.
- Manage our streaming with Boxcast, YouTube, Instagram, Facebook for our sermons, weddings, funerals and any other event needed.
- Upload documents to the church website and make minor website modifications.
- Assist in creating and posting social media content and videos that align with Rector’s vision.
Financial and Stewardship Support
- Assist with deposits.
- Assist with the annual pledge drive.
Memorials and Altar Flower Support
- Manage the altar flower dedications and provide information for Bulletin.
- Send thank you letters to memorial contributors and notify recipients of donations.
- Order memorial plaques for Chapel of the Resurrection.
Other
- Any other responsibilities assigned by the Rector or Parish Administrator.
- Must pass a background check and drug test.
