Job description

  • Position: Parish Administration Assistant

Richmond Catholic Parish, encompassing the communities of St Ignatius and St James, is seeking a dedicated and faithful Parish Administration Assistant to provide clerical and administrative support that fosters the smooth running of the parish office and supports the wider mission of the Church.

As the welcoming face of the parish, this role calls for a warm, respectful, and service-oriented individual who can respond compassionately and efficiently to the needs of parishioners, visitors, and clergy alike.

In partnership with the Parish Priest, Parish Manager, and other team members, this role includes managing front office responsibilities, maintaining accurate parish records and sacramental registers, coordinating parish calendars and events, assisting with finance-related tasks, and helping to maintain and update the parish website. The role also includes liturgical preparation duties as needed, including setting up for Mass and other sacraments, and acting as Sacristan when required.

Administrative tasks include greeting and assisting visitors and callers, handling correspondence and mail, managing parish supplies and databases, preparing weekly bulletins and rosters, updating sacramental and parish calendars, and supporting the Thanksgiving Program. The Assistant is also responsible for ensuring that all church-related information and materials—such as flyers, rosters, and announcements—are up-to-date and accessible.

This position is essential in ensuring that the parish operates with professionalism, care, and a faith centered commitment to hospitality and service.

Essential Competencies and Experience
  • A strong commitment to the mission and values of the Catholic Church.
  • Demonstrated experience in performing a wide range of administrative tasks with accuracy and care.
  • High level of proficiency with Microsoft Office and an ability to learn parish-specific software systems (e.g., PACM).
  • Excellent organisational, time management, and problem-solving skills.
  • Strong interpersonal skills and the ability to work both independently and collaboratively.
  • Ability to manage confidential information with integrity and discretion.
  • A welcoming and compassionate attitude, especially in interactions with parishioners and visitors.
