This isn’t just a coordination role; it’s about being the operational glue that holds every moving piece together, with a sharp eye for inefficiencies and a love for data-driven clarity.

Qualifications:

  • 5+ years of HVAC project management or mechanical contracting experience
  • Deep understanding of HVAC systems, construction sequencing, and subcontractor workflows
  • Proficient in Microsoft Excel, cloud-based trackers, and document management tools
  • Familiar with RFIs, submittals, and closeout documentation processes
  • Strong communication and leadership skills for guiding and aligning remote teams
  • Proven ability to juggle multiple projects and deliver under tight deadlines
  • Experience with Procore, BuildOps, or similar project management platforms is a big plus


Responsibilities of the Project Manager:

Your responsibilities include:

  • Project Oversight & Lifecycle Management:
    • Manage 4–8 active HVAC construction projects concurrently, ranging from 6 to 20 months in duration
    • Oversee projects in sectors such as Build-to-Rent communities, retail storefronts, and single-family dwellings, including equipment changeouts and commercial HVAC installations
    • Lead remote jobsite inspections and video audits to verify progress and resolve field issues
    • Review mechanical blueprints, scope documents, and contracts to ensure accurate and compliant builds
    • Develop and manage project schedules, manpower planning, and phased execution plans
  • Documentation & Process Control:
    • Submit and track RFIs (Requests for Information) and submittals; coordinate responses with design teams and stakeholders
    • Maintain up-to-date logs for change orders, submittals, and compliance documents, ensuring timely approvals and delivery
    • Organize and upload all required compliance documents prior to issuing purchase orders
  • Purchase Order & Financial Tracking:
    • Cut, track, and reconcile purchase orders across labor, material, and subcontractor scopes
    • Monitor PO issuance, delivery timelines, and budget alignment
    • Reconcile invoices to ensure payouts match approved units, contract scope, and field documentation
    • Protect project margins by closely monitoring overconsumption of materials and labor
    • Assemble final closeout packages, including progress photos, warranty logs, punch lists, and scope completion reports
  • Subcontractor & Vendor Coordination:
    • Serve as the communication liaison with General Contractors, vendors, and owners on a weekly basis
    • Coordinate with subcontractors and field leads to ensure daily progress, safety standards, and installation quality
    • Confirm project mobilization schedules and manage field logistics remotely
    • Maintain updated W9s, COIs, and subcontractor contracts for all active trades
  • Weekly Reporting:
    • Track and ensure completion of key documents such as TAB reports, O&M manuals, and customer sign-offs
    • Submit weekly jobsite progress summaries highlighting material delays, vendor issues, and project status
  • Daily & Weekly Flow + KPI Expectations:
    • Daily Tasks:
      • Enter and track POs (via Excel and cloud-based systems)
      • Confirm material delivery dates with vendors
      • Upload compliance and contract documents
      • Maintain updated checklists for change orders, submittals, and completion folders
      • Assemble punch lists and monitor completion reports
      • Verify payouts and reconcile purchase order data
    • Weekly Operations Check-In:
      • Monday: Active PO status by project, missing compliance paperwork, punch list escalations
      • Wednesday: Inventory/material check, subcontractor progress or issues, forecast for project wrap dates
      • Friday: Final closeout submissions, weekly operations summary, vendor follow-ups, issue tracking
    • Key Performance Indicators (KPIs):
      • Completion reports submitted within 7 days of project finish – 100% compliance
      • PO/invoice alignment with completed work – 95%+ accuracy
      • Change orders & submittals tracked in real-time – 100% accuracy
      • Weekly jobsite updates submitted – Every Friday by EOD
      • Field or client issues identified & flagged – Minimum of 3 weekly
      • Compliance documents uploaded before PO issuance – 100% adherence
