Responsibilities

  • Issue and process permits for Planning & Zoning and Public Works.

  • Coordinate Planning & Zoning Commission meetings, schedule, packets, minutes.
  • Maintain development agreements, notices, and follow-up tracking.
  • Maintain records including applications, case files, and floodplain docs.
  • Prepare reports, documents, databases, and contracts.
  • Provide general administrative support including scheduling and data entry.
  • Review documents for accuracy before posting publicly.
  • Provide backup municipal customer service support as needed.
  • Perform duties according to City policies and laws.

Position Summary

Performs administrative, technical, and customer service support for the Planning & Zoning Department, including coordination of permits, records, meetings, and financial transactions. This position requires sound judgment, organization, and effective communication with the public and City staff. Work is performed under the direct supervision of the Planning & Zoning Department Head and of the City Clerk.

Essential Duties and Responsibilities
  • Issue and process permits for Planning & Zoning and Public Works, ensuring compliance with applicable standards and procedures.
  • Provide accurate information to the public, developers, contractors, and staff regarding ordinances, codes, and departmental processes, as authorized.
  • Coordinate Planning & Zoning Commission meetings, including scheduling, preparing packets, attending meetings, and recording minutes.
  • Prepare, process, and maintain development agreements, legal notices, and related documentation; track follow-up requirements.
  • Maintain departmental records and systems, including applications, case files, floodplain documentation, and correspondence, ensuring accuracy and timely processing.
  • Prepare and maintain reports, documents, databases, contracts, and other administrative materials.
  • Provide general administrative support, including scheduling, correspondence, document preparation, data entry, and records management.
  • Review and proofread documents for accuracy, clarity, and completeness before making public posts.
  • Provide backup support for municipal customer service functions as needed.
  • Perform all duties in accordance with City policies, procedures, and applicable laws and regulations.
Knowledge, Skills, and Abilities
  • Knowledge of office practices, recordkeeping, and basic accounting principles, including accounts payable and receivable.
  • Ability to interpret and apply ordinances, policies, and procedures.
  • Ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Strong written and verbal communication skills and ability to work effectively with the public and staff. Bilingual a plus.
  • Ability to maintain confidentiality and exercise professionalism in sensitive situations.
Minimum Qualifications
  • High school diploma or GED required; additional administrative or technical training preferred.
  • One (1) year of clerical or administrative experience preferred, ideally in planning, zoning, or municipal operations; or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office and standard office systems.

Valid Idaho drivers license.
