Summary:

Under the direction of the Director of Facilities Operations and Administration, the Facilities Manager is responsible for the planning, organization, and development of housekeeping, repairs and maintenance, compliance, and operations at the ASPCA’s locations on 92nd Street, 91st Street, and 8th Avenue. Responsibilities include managing union custodial staff, staff development, emergency response/planning, supply ordering, inventory control, vendor management, and overseeing repairs and maintenance activities. The Facilities Manager is expected to support other NYC ASPCA locations as needed.

Schedule and Availability:

The Facilities Manager must be willing to work a flexible schedule (Monday-Friday, Tuesday-Saturday, or Sunday-Thursday) and participate in on-call duties for emergencies.

Responsibilities:
  1. Management and Oversight of Housekeeping (25%)
    • Oversee daily operations and housekeeping at assigned locations.
    • Conduct site tours to review efforts, monitor staff, and ensure compliance.
    • Manage safety programs and create maintenance plans.
  2. Management and Oversight of Repairs, Maintenance & Special Events (25%)
    • Ensure preventive maintenance is completed safely and timely.
    • Manage contractors and coordinate repair work with operations.
    • Handle complaints, monitor building systems, troubleshoot failures, and support project management activities.
  3. Department & People Management (25%)
    • Supervise union staff and contractors, enforce policies, and conduct performance reviews.
    • Lead recruitment, onboarding, training, and staff scheduling.
    • Foster team development and cross-training.
  4. Administrative Tasks (15%)
    • Manage work orders, supplies, budgets, and vendor communications.
    • Maintain documentation, safety records, and compliance reports.
  5. Emergency Management (10%)
    • Provide 24/7 emergency support, coordinate communication, and participate in drills and shelter setups.
Qualifications:
  • Minimum five years’ experience in Facilities Management, supervising staff, preferably union staff.
  • Experience managing facilities in healthcare or animal shelter settings is preferred.
  • Intermediate computer skills; CMMS experience preferred.
  • Knowledge of building systems and compliance codes.
  • Strong organizational, communication, and proactive skills.
  • Willingness to travel among NYC locations.
Education & Certifications:
  • Bachelor’s degree or trade diploma related to Facilities Operations preferred.
  • Driver’s license required; various Certificates of Fitness required or to be obtained within 90-120 days.
Additional Information:
  • Salary range: $76,000-$81,000, based on experience.
