We are seeking a highly organized and service-driven Owner Services Manager to oversee and manage all aspects of owner relations for our hotel/condominium homeowners association (HOA). This role is essential in ensuring exceptional service for our owners and guests, maintaining financial credibility for both the HOA and Rental Program, and supporting a welcoming, guest-first environment.
Key Responsibilities:
- Serve as the primary point of contact for condo owners, ensuring all service requests are addressed with the highest level of professionalism, timeliness, and care.
- Handle owner inquiries with clarity, empathy, and proactive communication.
- Ensure owner accounts remain financially current and credible for both the HOA and Rental Program.
- Process closing documents and maintain organized, accurate records.
- Prepare and process check and ACH batches for rental payments.
- Maintain accurate HOA receivables and support collection efforts to keep accounts 95% current.
- Generate and distribute quarterly HOA and rental statements.
- Accurately post daily bank transactions and owner payments.
- Process rental applications and closing documentation efficiently.
- Maintain fair and transparent rental rotation, ensuring equitable revenue distribution among owners.
- Conduct proactive outreach for delinquent accounts and maintain detailed records of collection efforts.
- Reconcile assigned balance sheet accounts monthly and update billing worksheets accurately.
- Participate in month-end close and reporting as required.
- Collaborate with all departments to ensure smooth operations and consistent service delivery.
- Promote a positive, guest-oriented atmosphere for owners, guests, and employees alike.
- Uphold high standards of professionalism, appearance, and ethical conduct.
Qualifications:
- Preferably bilingual: Spanish and or Portuguese fluent
- 3–5 years of experience in hotel accounting, owner services, or HOA-related operations.
- Strong verbal and written communication skills, with the ability to engage clearly and compassionately with owners and guests.
- Proven leadership ability and a track record of managing multiple priorities efficiently.
- Highly proficient in Microsoft Office Suite (Word, Excel, etc.).
- Ability to work independently, stay organized, and deliver outstanding guest and owner service.
