Job description

Job Summary:

The Outpatient Administrative Specialist will primarily be responsible for scheduling EBUS, Robotic, flexible, and rigid bronchoscopies as well as other procedures within the OR and Endoscopy unit such as tracheal and bronchial stent placement, cryotherapy, valve replacement, thoracentesis, pleural catheter placement, percutaneous tracheostomy, etc. This role includes obtaining proper documentation and authorizations for all procedures and coordinating procedure plans with patients. The specialist will collect data as needed for quality and operations for the Interventional Pulmonologist group and provide outpatient procedure support to all physicians. Additionally, the Outpatient Administrative Specialist will assist as needed as a medical assistant within the clinic, rooming/screening patients, taking vitals, and reviewing medication lists. This individual will assist clinicians with exams and procedures under direct supervision, maintain and stock exam rooms, clean instruments/rooms, and handle incoming and outgoing work order referrals ordered by the physician, as well as chart prep. Responsibilities also include answering phones, checking mail, and checking in and out patients.

CLERICAL PRACTICE:

  1. Answers the telephone and performs accurate message triage and computerized appointment scheduling.
  2. Prepares and reviews the medical record, ensuring that pertinent information is placed in the chart for that day’s visit.
  3. Develops and maintains a system to record laboratory and x-ray requests, receiving reports and ensuring that those reports are reviewed by the physician and signed off on.
  4. Ensures that tests ordered for patients reflect the specifications of their insurance company contract.
  5. Relates information regarding needed supplies to the appropriate person.
  6. Ensures physician dictation is received, reviewed, signed off, and placed into the chart.
  7. Reviews all patient-related information with the patient by return visit, phone call, or letter.
  8. Obtains medical records and requested medical information whenever needed.
  9. Reviews the next day’s patient schedule to ensure appropriateness regarding time allotted to each patient type.
  10. Participates in appointment verification and the inputting and maintenance of patient and insurance information in the Medic computer system.

CLINICAL PRACTICE:

  1. Greets and directs patients to examination rooms and prepares them for examination or treatment.
  2. Determines weight, height, blood pressure, and temperature; performs fingersticks, urine dips, and reviews and transcribes medications obtained from the patient onto the medication sheet.
  3. Completes Sleep and COPD flow worksheets in preparation for the visit.
  4. Accurately relates the visit reason and recent medical problems on the progress note and performs other clinical functions as necessary.
  5. Directs physicians to examination rooms in an agreed-upon method.
  6. Assists physicians with procedures under direct supervision, such as 6-minute walk tests, POCUS, and PFTs.
  7. Schedules tests, admissions, referrals, and consults ordered by the physician while obtaining insurance authorizations.
  8. Handles prescription renewals under the direction of the RN or clinician.
  9. Stocks examination rooms and organizes drug sample cabinets.

Minimum Qualifications:

Associates Degree or pertinent college-level courses and three years of administrative/office management experience preferably within the medical field. Completion of an approved Medical Assistant or Medical Office Assistant program or one year of experience directly related to the medical field. Current BLS certification through the American Heart Association or the American Red Cross; excellent interpersonal and organizational skills required.

Work Days: Monday - Friday daytime hours

Salary Range: G4: $17.50 - $28.17
