Patient Care Coordinator

The purpose of this role is to facilitate friendly and efficient throughput of patients entering the facility. Your involvement will include helping patients to navigate entry into treatment , coordinating follow-up visits, and supporting the continued ongoing activities in the patient’s recovery journey.

This position reports to the Program Director.

Responsibilities

  • Greeting patients, assisting patients with check-in, answering phones, performing new patient intakes and scheduling new patient appointments .

  • Executing and overseeing coordination of care documents on behalf of patients .

  • Sending and tracking Prior Authorizations including maintaining tracking spreadsheet.

  • Assist patients with insurance forms .

  • Inform patients about any financial responsibilities .

  • Collect and account for patient fees, enforcing fee collection policies .

  • Conduct monthly insurance eligibility and demographic updates .

  • Assist with visitor and vendor identification, logging building entry .

  • Maintaining proficient computer manageability for scheduling, changing and canceling appointments .

  • Acts as support for the Medical Assistant .

  • Maintain an organized waiting area and report suspicious activity to leadership and/or security .

  • Assist in maintaining indoor and outdoor facility cleanliness .

  • Verify patient identification . (will we have patient ID cards?)

  • Assist with entries in Central Registry such as patient pictures, admissions, discharges .

  • Perform general clerical tasks such as filing, scanning, copying and medical records requests .

  • Schedule patient appointments with the providers .

  • Maintain office supply inventory .

  • Participate in Treatment Team meetings, if necessary .

  • Create and type documents as needed .

  • Completes additional training (in-house or external) consisting of a minimum of eight clock hours annually .

  • Meet attendance and punctuality standards for scheduled shifts .

  • Perform other duties as assigned .

  • Run work-related errands such as mail and bank . (we will need to decide if we will take cash)

  • Comply with state and federal rules regulating Opioid Treatment Programs (OTPs), as well as best practices outlined by ASAM, SAMHSA, and CARF.

Job Requirements

  • High school diploma or equivalent

  • Previous medical office experience preferred

  • Valid driver’s license

  • Exemplary communication skills by phone or in person

  • Knowledge and use of commonly used office equipment

  • Basic math skills

  • Knowledge of confidentiality and information release protocols

  • Ability to manage multiple tasks

  • Must pass a criminal background check

Job Information

  • Required in-person work at Cedar Recovery’s Knoxville OTP location.

  • 12 or 8-hour shift, [office hours]
