Job Summary: Under the direction of district administrators and building principals, the District Activities Coordinator is responsible to lead comprehensive planning, implementation, and evaluation of the student activities program in the secondary schools. Duties include administering federal, state, and local policies; managing the activities budget in accordance with district guidelines; supervising coaching and support staff; arranging logistics associated with facility use, transportation, and events; managing data; communicating with stakeholders; and coordinating district practices and procedures.

Program Oversight: Coordinate comprehensive planning, implementation and evaluation of district and building level extra-curricular/co-curricular athletics and activities at the secondary level.

  • Coordinate common practice with other Activities Coordinators.
  • Implement MN State High School League rules, district policy, building procedures and all applicable federal and state rules.
  • Analyze data regarding activities programs and develop recommendations for improvement.
  • Attend events.
  • Supervise student and audience conduct at events.

Facilities, Equipment, Supplies Management: Develop systems and procedures for effective and efficient utilization of district and building facilities, equipment, and supplies.

  • Administer District Policy 902 – Use of School District Facilities and Equipment. Determine school sponsored practice, game, and tournament schedules, complete facility use permit request forms for scheduling all after-school, evening, week-end, summer, and holiday use, and submit to Community Education for district-wide scheduling.
  • Determine schedules for facility use and evaluate need for repair and maintenance.
  • Initiate requisitions for supplies and equipment.
  • Manage the maintenance and storage of all equipment.
  • Coordinate arrangements for all regular and tournament activities including schedules, facilities, officials, security, support staff, and transportation.

Personnel: Supervise and direct the work of equipment manager, coaches, assistant coaches, program secretary, ticket takers, event supervisors and all related personnel.

  • Recommend the selection, suspension, discharge, transfer, and discipline of all program staff.
  • Implement appropriate employment procedures as determined by the Human Resources Department.
  • Evaluate all program staff; promote their professional growth and development.
  • Train program personnel in relevant topics including district policies and MSHSL rules.
  • Arrange for game officials and trainers.
  • Coordinate event security.

Fiscal Management: Develop and administer the district activities/athletic budget.

  • Ensure adherence to fiscal accountability practices established by the business office for all financial transactions.
  • Monitor and evaluate revenue and expenditures; Develop recommendations for budgetary adjustments.
  • Coordinate purchase of supplies and equipment among buildings to ensure purchasing efficiency.
  • Maintain financial records.
  • Prepare periodic and annual financial reports.
  • Monitor all fundraising activities including booster club activities.

Record Keeping/Data Management: Develop systems and procedures for effective and efficient collection, analysis, and dissemination of financial and programmatic data.

  • Implement all necessary data and reporting functions.
  • Collect and disseminate as necessary all records, reports, and data related to the activities program including MSHSL eligibility data, student participation fees, gate receipts, transportation, awards, and participant files.
  • Develop written records documenting current rules, regulations, expectations for program staff and other items necessary for program coordination among secondary schools.
  • Ensure continuous improvement of data management systems and procedures.

Communication: Establish effective relationships with stakeholder groups including students, parents/guardians, community groups, district staff, league officials, and other school districts.

  • Coordinate activities with the local athletic conference.
  • Represent District 279 at conference, region, and state events.
  • Collaborate with building administrative team and serve on building/district committees as needed.
  • Disseminate publicity information to stakeholder groups and media.
  • Ensure effective communication with District 279 Community Education Department.
  • Provide leadership to coaching staff which results in effective communication to parents/guardians and effective conflict resolution.

Qualifications

  • Bachelors degree required. Masters degree preferred.
