Job description

JOB TITLE: ORTHODONTIC CLINICAL ASSISTANT MANAGER

The Orthodontic Clinical Assistant Manager is responsible for the day-to-day functions and management of the Orthodontic Assistants. In this role, you will perform the duties of the Orthodontic Assistant but will also have additional responsibilities and must possess strong talents in leadership and organization as this role is the direct lead to the clinical staff.

General Requirements Include:

  1. The Orthodontic Clinical Lead should be able to successfully manage others by delegating duties and tasks when needed to achieve direction and organize the flow in the clinical area ensuring that it is operating efficiently, and the expectations and needs of all patients are met. The Orthodontic Clinical Lead must have the ability to exercise a high degree of independent decision-making with sound judgment and with little supervision.
  2. The Orthodontic Clinical Lead must demonstrate confidence and professionalism by showing a sincere interest in leading the clinical team and inspiring others. He or she is expected to lead and mentor the clinical team by identifying the strengths and weaknesses and coaching them to help better develop the team. They will help continue to assist in any training of each team member and create a productive work environment for all employees daily.
  3. Partner with the Practice Manager to discipline and participate in the clinical employee performance reviews.
  4. You will maintain upkeep of the clinic, storage, inventory, digital images, materials and product maintenance. Oversee the ordering of supplies and reviewing daily inventory to ensure proper inventory levels according to the office need and budget. Supply orders will be placed monthly.
  5. The Orthodontic Clinical Assistant Manager will delegate the OSHA representative for the office location in which he or she is assigned. He or she will ensure that team members adhere to the state OSHA regulations and enforce them within the office. He or she will oversee sterilization as part of the OSHA compliance within the office and will contact the Company’s OSHA representative or Orthodontic Regional Manager of any violations or infractions pertaining to any area of the office.
  6. Responsible for holding staff to the highest integrity by adhering to all government regulations and company standards.
  7. Responsible for the operational readiness, appearance and presentation of the team and work environment.
  8. Responsible for spending time with patients seeking Orthodontic care and providing knowledge around questions related to planned treatment, corresponding fees and financial ledgers.
  9. The Orthodontic Clinical Assistant Manager will carry their title when traveling from location to location and will be held accountable for carrying out these responsibilities if in another location.
  10. Responsible for ownership of the schedule and staffing to accommodate patient flow.
  11. Learn and comply with Colorado Orthodontics administrative procedures and follow policies listed in the employee manual to ensure consistent standards.
  12. Maintain patient confidentiality through HIPAA compliance. Ensure any release of patient information is done according to the Company guidelines.
  13. Attend and participate in all office meetings, continuing education events and morning huddles.
  14. Understand how to work effectively within the office, partnering with the Practice Manager, Orthodontic Treatment Coordinator, Orthodontic Front Desk Coordinator, Doctor(s), and other staff to maintain consistency and integrity within the Company.
  15. Additional duties will be assigned as necessary to achieve the Company standards and goals as efficiently as possible.
