The Orthodontic Treatment Coordinator (OTC) is a valued member of the travelling Orthodontic teams. Reporting to the Ortho Team Leader, the primary responsibilities of the OTC are to spend time with patients seeking Orthodontic care, ensuring they have a great experience, fully understand the treatment diagnosed by the Orthodontist, and leave with all their questions answered related to plan treatment and corresponding fees. The OTC serves as the financial and insurance benefit expert to obtain a high percentage of treatment acceptance from patients.

Key Responsibilities
  • Punctuality, attendance at and performance of the key responsibilities in person at the office on a full-time basis (or as otherwise directed by your supervisor).
  • Present orthodontic treatment plans once diagnosed and reviewed by clinical staff and provide estimates of treatment costs.
  • Obtain high treatment acceptance by thoroughly explaining cost of treatment, insurance coverage, and financing options. Explain, promote, and adhere to company payment policies and procedures.
  • Submit any Medicaid Pre-Authorizations pending State requirements.
  • Track Consults and Starts to understand conversion rates and ensure office is achieving the defined metrics.
  • Obtain signed consents, contracts and start documentation in accordance with all clinical and administrative audit requirements. Ensure all documentation is prepared correctly, reflecting any insurance contributions and all documentation is accurate and signed on the date of service.
  • Ensure patients are clinically cleared for treatment which may include periodontal clearances prescribed by the doctor and/or completion of restorations. Verify hygiene is acceptable for braces.
  • Contact patients/guarantors the day prior or the day of the appointment regarding fees due and to confirm the appointment.
  • Track and monitor collections and any required patient follow-up.
  • Following completion of ortho treatment, track patient satisfaction and solicit referrals.
  • Achieve or exceed team performance targets.
  • Obtain required records for Consultations and/or Medicaid Pre-Authorization.
  • Foster strong relationships with referring providers, team members, and surrounding offices.
  • Other duties supporting the Orthodontist.
Qualifications
  • Customer service or sales experience is required, experience in the dental industry is preferred.
  • High-level knowledge of orthodontic procedures, dental insurances, service limits, Medicaid, PPO, Self Pay collections, and financing options to be able to effectively communicate techniques and treatment plans is preferred, not required.
  • Excellent written and oral communication skills are required.
  • Must have exceptional attention to detail.
  • CPR Certification is preferred.
  • Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.), dental software experience is preferred.
