As part of our continued growth, we are looking for a detail-oriented and dependable Order Processing Specialist to manage and streamline the clinic's supply and materials ordering processes.
The Order Processing Specialist is responsible for managing the purchasing and tracking of materials, therapy tools, office supplies, and client-related resources. This role ensures that all orders are accurately placed, received, and documented to support smooth day-to-day operations at the clinic.
Receive and review internal supply requests from staff and clinicians
Place accurate and timely orders with approved vendors for therapy materials, office supplies, and clinic equipment
Track order status, shipping timelines, and backorders to ensure timely delivery
Communicate with vendors and suppliers to resolve order issues, delays, or discrepancies
Maintain organized records of orders, receipts, and inventory
Verify and check the accuracy of delivered items against purchase orders
Collaborate with finance or admin staff for invoice matching and payment processing
Monitor stock levels and help maintain adequate inventory of frequently used items
Suggest process improvements for ordering efficiency and cost savings
Ensure compliance with clinic purchasing policies and budget limits
Required:
High school diploma or equivalent
Previous experience in order processing, purchasing, or administrative support
Excellent organizational skills and attention to detail
Strong communication skills (written and verbal)
Ability to manage multiple orders and timelines simultaneously
Basic proficiency with Microsoft Office (Excel, Outlook, Word) and/or order management tools
Preferred:
Experience in a clinical, educational, or healthcare setting
Familiarity with inventory tracking systems or procurement software
Knowledge of therapy or educational materials is a plus
May require sitting at a computer for extended periods
Occasionally lifting or organizing supply shipments
Collaborative, fast-paced, and mission-driven environment
