About the Role

We are seeking an Operations & Systems Specialist (internal title: Analyst, Schooling Program & Services) to provide the analysis, program management, and cross-functional coordination that enable world-class support for schools, educators, and scholars. The role will primarily support two areas: the Schooling Office, which operates across K-12 and includes a dedicated High School Office, and Scholar External Experiences, Alumni & Scholarships.

The Operations & Systems Specialist will help leaders translate priorities into well-managed workstreams by coordinating timelines and deliverables, tracking progress and risks, responding to School Leader needs, and preparing clear reporting for leadership. The role will support work spanning the K-12 operating cadence, schooling policies and processes, High School Office priorities, and External Programs, Alumni & Scholarships, while contributing to broader Schooling Program & Services priorities as needed.

The organization manages its work through clear goals, timelines, and measures of performance. The Operations & Systems Specialist will help make progress and risks visible by monitoring deliverables and response times to schools and Network partners, working with data and analytics partners to prepare actionable analysis, and developing monthly executive reporting and updates on key initiatives.

This role is ideal for a highly organized, analytical, and detail-oriented problem solver who thrives in a fast-paced environment, operates with autonomy, and communicates effectively across stakeholders. The Operations & Systems Specialist will work across Schooling and with key Network partners, using AI and other tools to reduce manual work, improve efficiency, and support continuous improvement.

Key Responsibilities:
Analysis & Reporting
  • Prepare reports and analyses that provide leadership with visibility into progress, risks, and outcomes.
  • Support reporting for key design change initiatives, helping leadership understand progress, and impact.
  • Analyze performance trends to help leaders identify gaps, improve workflows, and make data-informed decisions.
  • Partner with the Decision Science/Schooling Data team and internal stakeholders to ensure reporting reflects business needs and that data is accurate and consistent.
Schooling Office Support
  • Provide analysis, reporting, and execution support across the four functions of the K-12 Schooling Office: operating cadence and network-to-school execution, schooling policies, schooling economics, and the High School Office.
  • Support operating-cadence execution, including the academic calendar, scope and sequence, field studies, and school-facing events such as Tours, Excellence Awards, and Commencement.
  • Support the non-academic policy and process hub, including policy reviews, ticketing trends, and change management with schools.
  • Support the High School Office across graduation pathways, re-enrollments, scheduling input by pathway, scholar clubs, network-hosted trips, school profiles, and senior transition.
  • Facilitate seamless communication between school and Network stakeholders across high school campuses, ensuring timely dissemination of information and maintaining a repository of key decisions and a calendar of main events.
  • Maintain accurate records of scholar participation, event outcomes, and program evaluations, and prepare reports and presentations for school leadership and stakeholders.
Program Management & Cross-Functional Coordination
  • Support program and project planning by maintaining clear milestones, owners, timelines, dependencies, and deliverables.
  • Coordinate across Schooling, school teams, and cross-functional partners to align stakeholders on responsibilities, decisions, deadlines, and next steps.
  • Track multiple workstreams, proactively surfacing risks, delays, dependencies, and decisions needed to keep work on track.
  • Support School Leader and Network partner requests with timely, accurate follow-through, coordinating across teams as needed to drive resolution.
  • Prepare project plans, status updates, meeting agendas, follow-ups, and other materials that provide visibility and reinforce accountability.
  • Support the rollout of new initiatives and ways of working through communications, documentation, training, and stakeholder follow-through.
  • Gather stakeholder input and incorporate relevant feedback into processes, plans, and implementation.
  • Maintain standard work, templates, and shared resources that improve consistency and clarity across teams.
  • Respond to ad hoc operational and analytical needs with urgency, accuracy, and sound judgment.
Efficiency & Continuous Improvement
  • Use AI to work more efficiently, remove manual work, and drive continuous improvement in the work.
  • Identify manual, duplicative, or error-prone processes and recommend improvements to increase efficiency and accuracy.
  • Help test, document, and refine new tools, templates, and workflows as the organization’s operating model evolves.
  • Monitor the impact of workflow and process changes on timeliness, accuracy, and team capacity.
Qualifications:
  • Bachelor’s degree required.
  • 2–4 years of experience in operations, project coordination, data analysis, program management, education operations, or a related field.
  • Exceptional attention to detail and ability to manage multiple timelines, deliverables, and stakeholders in a fast-paced environment.
  • Strong organization and project management skills, including the ability to translate complex work into clear plans and milestones.
  • Analytical skills including experience creating reports and using data to identify trends or gaps.
  • Excellent written and verbal communication skills, with the ability to synthesize information clearly for executive leaders, cross-functional teams, and school-based audiences.
  • Strong problem-solving skills and ability to identify inefficiencies, propose solutions, and follow through to implementation.
  • Experience supporting projects from planning through execution, including managing follow-up, coordinating stakeholders, and ensuring deliverables are completed on time.
  • Experience using AI tools to work more efficiently, reduce manual work, and improve processes preferred.
  • Ability to work independently while collaborating effectively across teams and functions.
  • High level of accountability, urgency, discretion, and judgment.

Compensation Range

$70,000 - $80,000 USD
