Job summary

National Seating & Mobility, Inc. in Massachusetts seeks a full-time office assistant to handle phones, schedule patient appointments, and coordinate with clinicians and suppliers. You will assist with insurance documentation, data entry, and keeping records up to date.

This role operates in a busy professional office environment; prior experience in healthcare admin is a plus. We offer day shift Monday–Friday with competitive benefits including 401k and tuition reimbursement.

Qualifications

  • Familiarity with patient intake processes and documentation.

Responsibilities

  • Answers phone calls and manage phone requests and inquiries in a helpful and professional manner.
  • Coordinates with Branch Manager, RTS, office support staff and Technician to set patient/referral source evaluation, delivery and repair appointments.
  • Assists in completion of work orders including verification of patient information, calculation and extension of equipment price, and preparation of quotes.
  • Provides and/or obtains documentation for a purchase order including verification of insurance, letter of medical necessity, assembly of the funding package, and execution of assignments of benefits.
  • Performs data entry of all pertinent information and files documents and folders.
  • Assists with physical inventory and provides clerical support for inventory documentation.
  • Maintains communication with patient, parents, therapist, doctor and nurse on pending orders.
  • Resolves escalated client concerns and complaints.
  • Handles supply orders, monitors office expenses and reconciles petty cash.
  • Performs related duties as assigned by the Branch Manager.

Responsibilities:


  1. Answers phone calls and manage phone requests and inquiries in a helpful and professional manner. Takes the initiative to bring inquiries to a conclusion where at all possible, thereby avoiding return phone calls from the Branch Manager or RTSs. Communicates with patients, parents, therapists, and nurses to provide follow-up on pending orders. Accomplishes these duties by either performing them or by directing office support staff to do so.

  2. Coordinates with Branch Manager, RTS, office support staff and Technician to set patient/referral source evaluation, delivery and repair appointments.

  3. Assists in completion of work orders which may involve but is not limited to verification that all necessary patient information is documented, calculation and extension of equipment price, and preparation of quotes. Accepts delivery of goods when necessary.

  4. Provides and/or obtains the necessary documentation for a purchase order to include verification of insurance, letter of medical necessity, assembly of the funding package, preparation, and execution of an assignment of benefits and receipt of any other documentation required by each payer source.

  5. Performs data entry of all pertinent information, including scanning documentation received. Files documents and folders.

  6. Assists with the physical inventory at the direction of the Branch Manager. Provides clerical support for the preparation of inventory documentation.

  7. Responsible for continuing education related to job duties, i.e. remaining informed about and familiar with NSM’s current and/or new policies and procedures, checking WNSM for new information on an ongoing basis, completing Learning Links and attending courses or seminars as assigned by the Branch Manager.

  8. Maintains communication with patient, parents, therapist, doctor and/or nurse on pending orders.

  9. Resolves escalated client concerns and complaints.

  10. Responsible for supply orders, monitor office expenses and reconciles Petty Cash fund.

  11. Performs any directly-related job duties as assigned by the Branch Manager. Carries out all position expectations in a professional manner.

  12. Performs funding related duties, as needed depending on branch structure.


This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers, photocopiers, filing cabinets and fax machines.
