Davis Heating, Cooling, Plumbing & Electric in Lynchburg, VA is seeking an Operations Specialist to keep technicians and installers equipped, scheduled, and moving. You’ll manage daily operations, ensure fast responses to customers, and support branches with accurate data and timely actions.

The role emphasizes organization, problem-solving on the spot, and completing tasks from start to finish. A hands-on, detail-driven position in a growing home services company.

Qualifications

• Comfortable working daily in ServiceTitan, Excel, and other standard business software.
• Able to juggle multiple priorities including scheduling, inventory, purchasing, and reporting.
• Doesn't wait to be told; spots what needs to happen and gets moving.
• Clear, professional and calm on the phone with customers, including in difficult conversations.
• In the home services trades (HVAC, plumbing, electrical) or a dispatch/operations support role is a plus.

Responsibilities

• Schedule and dispatch technicians and install crews to maximize daily productivity.
• Call customers to schedule appointments, present estimates, and follow up on past-due balances.
• Address customer complaints and concerns, working toward a fair resolution.
• Enter daily huddle numbers (sales, sold hours, MTD, TGLs, and HG sold).
• Calculate and enter timecards for branch payroll.
• Gather parts and materials to replenish each technician's and installer’s stock.
• Gather equipment and materials for scheduled installs so install crews can “gather and go.”
• Assemble install bags for customers.
• Receive and check in inventory deliveries at the warehouse; restock parts and consignment inventory.
• Complete monthly consignment inventory counts.
• Process and return warranty parts.
• Place and enter purchase orders for stock, consignment, and job-specific material needs.
• Receive purchase orders when technicians submit pick tickets.
• Make credit card purchases for material and equipment, and complete related expense reports.
• Register equipment/units following installation and payment.
• Handle outgoing mail and shipments via USPS/FedEx; serve as the branch's FedEx contact.
• Answer geothermal system questions for customers and sales staff.
• Serve as Fleet Coordinator for the Lynchburg branch.
• Review and report vehicle status and needs to management.
• Support the Operations Manager in interviewing candidates for open branch positions.

The Operations Specialist is the engine behind daily operations at our Lynchburg branch. This role keepstechnicians and installers

equipped, scheduled, and moving, keeps the numbers accurate, and makes surecustomers get a fast, clear response whether

they're booking an appointment, waiting on an estimate, orworking through a concern. It's a hands-on, detail-driven position for

someone who thrives on stayingorganized, solving problems on the spot, and seeing things through to completion.
