Position : Operations & Program Manager
Reports to: President
Hours : Part-time, 15-20 hours per week, ideally 4 days a week, that is flexible and adaptable
Location: Remote, seeking local to Greater Philadelphia Area for events and meetings
Compensation : Paid hourly based off experience
About the Organization: The POWER of Professional Women is a small, mission-driven 501(c)6 nonprofit dedicated to developing and supporting women leaders through programs, resources, and networking. With annual revenues of approximately $250K, we work closely with a management association to deliver impactful initiatives and maintain efficient operations.
Position Summary:
The Program Manager is responsible for the day-to-day management of the organization, ensuring smooth administration, program delivery, and financial accountability. This role focuses on operational execution and internal coordination, leveraging the expertise of a contracted management association for specialized support.
Key Responsibilities:
- Operations & Administration
- Oversee daily organizational operations, ensuring alignment with strategic goals set by the Board.
- This role interacts with 10+ committees, including communications with the committee chairs for updates.
- Serve as the primary liaison with the management association for administrative, financial, and membership functions.
- Maintain and improve organizational systems, processes, and procedures, leveraging technology where applicable.
- Manage compliance with nonprofit regulations, reporting requirements, and insurance.
- Program Coordination
- Work with program committees to plan, execute, and evaluate events and initiatives such as board-hosted meetups, happy hours, and partner events.
- Oversee the execution of programs, workshops, and online events, including scheduling coordination, materials, and technology.
- Track program participation and feedback for continuous improvement.
- Partner with the management association to prepare annual budgets, monthly financial reports, and grant reports.
- Continuously monitor expenses and ensure cost-effective use of resources.
- Bring forward ideas and recommendations on how to improve speed, quality, impact in cost effective ways.
- Support fundraising efforts through grant applications and small-scale donor campaigns.
- Board Support
- Collaborate with the Board Chair to prepare agendas, reports, and materials for Board meetings and ensure they are sent out with notice.
- Assist the Board in monitoring and ensuring execution against the strategic plan.
- Ensure strategic decisions are prepared by committees or board members for review, discussion, and decision by the board.
- Ensure Board decisions are implemented effectively.
- Follow up on action items from Board meetings to ensure they have been met.
- Oversee website content updates, newsletters, and member communications with support from the marketing committee and membership organization platform.
- Maintain social media presence in alignment with organizational brand and messaging.
- Support member engagement efforts to build community and participation.
- Follow up with current and prospective sponsors with direction from President and sponsorship committee.
Qualifications
- 5+ years of experience in nonprofit management, program coordination, or operations.
- Strong organizational skills and attention to detail.
- Ability to work independently and manage multiple priorities.
- Proficiency with standard office software and proficiency with online tools such as BOX, Calendly, Survey Monkey, Smart Forms, QBO, Doodle, Zoom, Teams, etc.
- Experience working with Boards and volunteers.
- Experience with membership management software, for example, YM, is advantageous
- Remote work with occasional in-person meetings and events.
- Flexible schedule; some evenings/weekends may be required for events.
- Ideally working four days a week
