POSITION SUMMARY:

With intimate knowledge of pharmacy infrastructure, the pharmacy operations technician organizes and supports the peripheral services necessary to maintain consistent operation with limited disruption throughout the outpatient pharmacy department. While interacting with different professional levels within the department, technicians are expected to ensure the integrity and reliability of the day to day operations including but not limited to the pharmacy department’s information systems, hardware and associated substructures. Technicians provide ground support, quality management, logistical support and counselling to 7 different outpatient spaces, they also assist with implementations, projects, and training/development.

Department: Retail Pharmacy - Admin

Schedule: Full Time, 40 Hours, Days/Evenings

ESSENTIAL DUTIES/RESPONSIBILITIES:

Ground Support:

  • Troubleshoot disturbances with pharmacy management systems, automated robotics, computer hardware, interface connectivity, mobile devices, networking, IVR, electronic prescription transmission, telecomm, and related issues that occur onsite submitted through hospital ticketing system.

  • Ask clarifying questions, recreating or observing event, determining level of impact, identifying defining cause, and weighing available solutions.

  • Perform direct repair or procure replacement if appropriate, or enlist additional resources (vendor, IT, etc.) for resolution.

  • Testing effectiveness of provided solutions directly and determining preventative measures.

Implementations

  • Supports change initiatives, by effectively adjusting work responsibilities due to new structures, processes, requirements or culture.

  • Works to acquire technical and logistical knowledge of multiple systems (Qs1, Sendpro, etc.) to ensure understanding of system processes and system integration.

  • Provides consultation on system configurations to optimize system/program performance.

  • Creates technical writings and documents for testing and training on product if not provided by vendor.

  • Thoroughly conducts comprehensive audit of new systems/products prior to go-live.

  • Conducts or coordinates staff training on product/system.

  • Completes implementation signoff and transfer to appropriate team(s).

Quality Management:

  • Regularly evaluate pharmacy automation for optimal performance. Develop reports to monitor shifting patterns in drug usage and make appropriate recommendations for modification to optimize system performance. Performs physical modification to the drug real estate housed within automated robots.

  • Audit internal maintenance process and coordinates vendor related maintenance of automation devices, hardware and software for 6 separate robotic dispensing system located across 5 pharmacies.

  • Responsible for software upgrade of pharmacy information systems. Reviews upgrade specifications, identifies direct benefits, determines necessity, and performs quality assurance testing, if possible, in test environment for proper functioning of the system. Provides recommendations (e.g. approve, delay), coordinates installation onto production and monitors activity post application.

  • Inspects the multi-site management system for transaction failures, performs transaction recovery through resubmission.

  • Either through managers or directly, provides remedial training to affected personnel on processes in accordance with applicable policies, procedures and standards.

  • Participates in the evaluation of current processes, recommends effective changes, develops and applies approved process revisions.

  • May hold a seat on the Outpatient Pharmacy Quality Improvement Committee, providing operational support for quality initiatives across all worksites.

Logistics:

  • Oversees pharmacy management system settings, including user access, store level options, workflow settings and delivery of reports as intended. Includes POS registers, printers, interfaces, automation and other hardware.

  • Monitors PDC consumable usage, procures quotes, invoices, recommends adjustments.

  • Tracks and allocates printers, workstations, registers and other hardware under contract.

  • Physically performs the install, removal and/or disposal of hardware across 7 locations.

  • Obtain quotes, PO#, and purchasing of hardware. Installs hardware when received. Ensure hardware is configured to function as intended.

Correspondent Activities:

  • Connectson adaily/weekly basiswith6 patient facing store fronts across the Boston Metro area and 1 mail order facility outside of Boston, tomaintainreliable,effectiveandoperation-centeredservices.

  • Develops relationships with traditional and specialty pharmacy teams by working as a direct contact to address inquires or provide information related to workflow processes, new initiatives, pharmacy management systems, database management, automations, hardware, consumables, software services or by liaising between the pharmacy staff and other BMC department and/or partners.

  • Collaborates with vendors Qs1, Arxium, PDC, Parata, Pitney Bowes, Endicia, Script Pro, Digital Pharmacist and others on the developmental needs of the pharmacies, and product implementations.

  • Communicates with relevant information on activities to direct supervisor.

JOB REQUIREMENTS

EDUCATION:

  • High school diploma or equivalent required.

  • Associates Degree or higher in business preferred.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • Must be registered as a Pharmacy Technician with the MA Board of Pharmacy by hire date.

  • Must also have national certification (CPT) from Pharmacy Tech Certification Board (PTCB) or Exam of Certified Pharmacy Techs (exCPT)

EXPERIENCE:

Must have one of the following:

  • Four years of pharmacy experience or;

  • two years of pharmacy experience and two years of logistic and supply chain management.

Prefer experience with pharmacy management systems, automated robotics, pharmacy regulation, purchasing, inventory control, and drug reporting.

KNOWLEDGE AND SKILLS:

  • Excellent interpersonal skills, technical acumen and communicative virtuosity is needed.

  • Must have a strong understanding pharmacy related domains and business processes.

  • Exhibits high performance levels in the related fields.

  • Must maintain competency in all areas of outpatient pharmacy.

  • Must be proficient with computers, including hardware software and peripherals.
