Job description

The Senior Pantry Coordinator / Operations Manager oversees the day-to-day operations of the organization’s storefront and mobile food pantries. This position ensures that pantry programs are appropriately staffed, fully stocked, safe, welcoming, and compliant with all partner, state, and federal requirements.


The Senior Pantry Coordinator supervises hourly pantry staff and volunteers, coordinates food procurement and distribution, maintains required records, monitors the pantry budget, and supports excellent service to pantry clients.


Essential Duties and Responsibilities

Staff and Volunteer Supervision


  • Recruit, train, schedule, and supervise hourly pantry staff and volunteers.
  • Ensure sufficient staffing for all storefront and mobile pantry distributions.
  • Provide clear work assignments, ongoing coaching, and support to staff and volunteers.
  • Ensure required background checks and clearances are completed and maintained for applicable staff and volunteers.
  • Track and report volunteer hours.
  • Review and document biweekly payroll information for hourly pantry staff.

Pantry Operations and Food Distribution


  • Oversee daily operations of the storefront and mobile pantries.
  • Prepare pantry locations for efficient, safe, and welcoming food distributions.
  • Order food and supplies and receive scheduled deliveries.
  • Maintain adequate food and supply inventory for both pantry programs.
  • Coordinate food storage, stock rotation, and distribution using appropriate food-safety practices.
  • Monitor the quality and safety of all food distributed by the pantry.
  • Coordinate with donors and community partners regarding recurring food donations, including 412 Food Rescue, Greater Pittsburgh Community Food Bank, and local grocery stores.
  • Maintain clean, organized, and safe pantry and storage areas.

Records, Reporting, and Budget Management


  • Maintain accurate and confidential client records.
  • Complete all documentation required by food partners, the U.S. Department of Agriculture, and the Pennsylvania Department of Agriculture.
  • Track donated and purchased food and supplies.
  • Maintain accurate inventory and distribution records.
  • Manage and monitor the food pantry budget.
  • Prepare operational reports and other documentation as requested by the Executive Director.

Additional Responsibilities


  • Support other pantry programs and organizational activities as needed.
  • Perform other duties as assigned by the Executive Director.

Required Qualifications

  • Strong supervisory, organizational, and time-management skills.
  • Excellent communication, interpersonal, and customer-service skills.
  • Ability to work respectfully and effectively with clients, volunteers, donors, staff, and community partners from diverse backgrounds.
  • Strong computer skills, including proficiency with Google Workspace and Microsoft Office.
  • Experience in using client-intake, case-management, or pantry-management software, such as Link2Feed or PantrySOFT.
  • Ability to maintain accurate records and protect confidential client information.
  • Valid driver’s license and required personal automobile liability insurance.
  • Ability to successfully complete federal and state criminal background checks and Act 33 clearance.
  • Ability to complete annual Civil Rights Training.
  • Current ServSafe Food Protection Manager certification or ability to obtain it within a specified period after hire.

Preferred Qualifications

  • Previous experience managing food pantry, nonprofit, retail, warehouse
  • Strong supervisory, organizational, and time-management skills.
  • Excellent communication, interpersonal, and customer-service skills.
  • Ability to work respectfully and effectively with clients, volunteers, donors, staff, and community partners from diverse backgrounds.
  • Strong computer skills, including proficiency with Google Workspace and Microsoft Office.

Physical Requirements

The employee must be able to:


  • Remain on their feet for up to four hours at a time.
  • Regularly move, load, and organize food and pantry supplies.
  • Lift and carry items weighing up to 50 pounds.
  • Perform duties in storefront, warehouse, loading, and mobile-distribution environments.

Reporting Relationships

  • The Senior Pantry Coordinator / Operations Manager reports directly to the Executive Director.
  • All storefront and mobile pantry staff & volunteers report to the Senior Pantry Coordinator / Operations Manager.
