REPORTS TO: Store Manager

POSITION SUMMARY:

The Operations Manager is a key member of the leadership team, responsible for overseeing all back-of-house operations and ensuring seamless stock management, supply chain flow, and loss prevention practices in the high-volume Madison Avenue flagship. This role serves as the direct liaison between the store and corporate operations teams, driving efficiency, compliance, and excellence in execution. The Operations Manager supports the store’s selling environment by ensuring the selling team has timely and easy access to merchandise and supplies, and that all operational processes reflect Max Mara’s standards of luxury, organization, and discretion.

KEY RESPONSIBILITIES:

Inventory & Stock Management

• Oversee and execute all stockroom operations, ensuring optimal organization, product flow, and merchandise accessibility.
• Lead and monitor accurate receiving, processing, and storage of all incoming shipments.
• Manage outgoing merchandise including e-commerce fulfillment, client orders, RTVs, inter-store transfers, and warehouse returns.
• Investigate and resolve shipment discrepancies (shortages, overages, damages) and communicate resolutions to corporate operations promptly.
• Maintain and audit detailed documentation of inventory movement and product lifecycle (including aging merchandise and damage reporting).
• Partner with Store Manager and Corporate on physical inventory planning and cycle counts, ensuring year-round inventory preparedness.
• Implement and enforce stockroom protocols and operational SOPs that align with internal audit and loss prevention policies.
• Identify and resolve risk points related to merchandise security, asset protection, and procedural gaps.
• Supervise and mentor the Operations Assistant, delegating tasks and holding team members accountable for excellence and timeliness.
• Provide training and continued development on BOH operations, shipment processing, and inventory best practices.
• Partner with Store Manager on staffing and productivity needs to support floor coverage during high-volume periods.

Visual & Facilities Support

• Oversee coordination and safe storage of visual props, fixtures, and marketing assets; assist visual teams during floor moves and window changes.
• Ensure garments are prepped and merchandised to company standards in collaboration with Visual and Sales teams.
• Monitor inventory of store supplies and place orders as needed to support daily business functions.

QUALIFICATIONS:

• Minimum 3–5 years of experience in a retail operations or stock management role, preferably in a luxury or high-volume environment
• Proven ability to lead a team and drive process improvement in a fast-paced, dynamic setting
• Strong organizational, analytical, and problem-solving skills
• Proficient in Microsoft Office Suite and POS/inventory systems
• Ability to lift up to 30 lbs and manage physical aspects of stockroom operations
• Excellent written and verbal communication skills
