Job summary

The Foundation is seeking an Operations Manager for Global Philanthropy to lead metrics, data, and insights across the function. You will coordinate with teams, oversee end-to-end grant processing, and ensure efficient operations that support programs, disaster relief, and community grants. The role reports to the Sr.

Director, Global Philanthropy within Corporate Responsibility & Global Philanthropy. You will manage dashboards, budgets, and contract support, driving systems to measure impact

Qualifications

  • Bachelors Degree required; Masters preferred.
  • 5+ years operations experience.
  • Proven experience building dashboards or major reporting tools for multiple end users.
  • Experience creating and managing databases for metrics/evaluation.
  • Adept with new technology systems and tools.
  • Strong written and verbal communications.
  • Collaborative, team-oriented mindset; capable of independent work.
  • Excellent project management and ability to manage multiple projects.
  • Strong organizational and administrative capabilities.

Responsibilities

  • GP Dashboard, Metrics, Insights, and Measurement: build/maintain dashboards and measure impact.
  • Oversee data collection, metrics, KPIs, results, and insights for leadership, ESG reports, and audits.
  • Prepare/synthesize metrics for quarterly reports and ad hoc requests.
  • Integrate robotic process automation for data entry and routine tasks.
  • Lead AI-driven predictive maintenance templates to reduce admin tasks.
  • Manage US Global Philanthropy budget day-to-day including monitoring and reporting.
  • Global Philanthropy: oversee community grants, evaluate grantees, process grants for compliance.
  • Engage with grantees, manage relationships, respond to inquiries, troubleshooting.
  • Coordinate with employee giving/volunteering leads to support grants and invoicing.
  • Assist with contracts/grants via Cybergrants; resolve inquiries.
  • Operations & Administrative: manage processes including invoicing, grants, reporting, and projects.
  • Lead invoice management for foundation and corporate initiatives; ensure timely payments.
  • Manage Cybergrants platform and grants database; build reporting tools.
  • Lead internal contracting, grant execution, and stakeholder engagement with partners.
  • Develop internet/intranet sites to support Global Philanthropy and employees.
  • Oversee audits/ filings; lead Corporate Donations process and vendor vetting.
  • Collaborate with legal partners and internal stakeholders across operations.

Operations Manager Global Philanthropy

???????Summary

The Operations Manager for the Global Philanthropy team is responsible for maximizing the impact of theFoundation for patients, communities, and our employees. This person will lead our metrics, data, and insights across the function, serve as the investigation lead for employee inquiries for employee engagement programs, coordinate with individuals across the function and lead operations. Additionally, the role will serve as the processing hub for grants from end to end including disaster relief and community grants. The Operations Manager is critical to the Global Philanthropy function operating successfully and efficiently. This role will have significant employee, team, and community impact in the quest to help individuals live their healthiest lives. The Manager will report to the Sr. Director, Global Philanthropy and will be part of the broader Corporate Responsibility & Global Philanthropy organization.

Primary Responsibilities:
GP Dashboard, Metrics, Insights, and Measurement
  • Build and maintain Global Philanthropy dashboard, a new technology that merges function systems (Cybergrants, YourCause, Benevity) input and output to measure impact of all programs
  • Oversee data management by collecting and organizing metrics, data, KPIs, results, and insights for consistent measurement and tracking for leadership, ESG reporting, and audits
  • Prepare and synthesize metrics capturing the status and impact of philanthropic partners for quarterly reports and ad hoc requests to ensure accountability and support communications
  • Integrate robotic process automation in data entry and routine tasks
  • Lead development of AI-driven predictive maintenance systems, built in templates to reduce administrative tasks, collaboration tools to connect teams and functions
  • Oversee day-to-day management of US Global Philanthropy budget including monitoring and reporting
Global Philanthropy
  • Oversee community grants, including evaluating prospective community grantees and processing of grants for alignment with compliance andFoundation
  • Engage with grantees on behalf ofFoundation, including relationship management, responding to inquiries, and troubleshooting
  • Coordinate with the employee giving and volunteering leads to support grants and invoice processing
  • Support the Global Philanthropy team in executing contracts and grants through platforms such as Cybergrants
  • Investigate and resolve employee inquiries to efficiently manage giving, scholarships, relief, volunteer, and the foundation
Operations & Administrative
  • Manage operations and processes including invoice management, grant-making, reporting, tracking, and project management
  • Lead invoice management for foundation and corporate initiatives to ensure timely payments and status tracking
  • Manage Cybergrants platform, including management of grants database
  • Build and manage reporting and compliance tools, and real-time on-demand metric systems
  • Lead internal contracting and grant execution and stakeholder engagement with local community partners
  • Build and maintain internet and intranet sites supporting Global Philanthropy and employees
  • Oversee audits and filings on behalf of the Foundation
  • Lead Corporate Donation process including training, Corporate Donations Review Committee (CDRC), coordinating with Ops, Compliance,
  • Owner of consistent process for vetting partners, vendors, and programs including criteria
  • Primary lead for external and internal legal partners, and internal OEC and corporate operations stakeholders
Qualifications and Skills Required:
  • Bachelors Degree required, Masters degree preferred
  • 5+ years operations experience
  • Demonstrated experience in building dashboard or other major reporting, metric tool for multiple end-users
  • Database creation and managing metrics and evaluation systems
  • Adept with new technology systems

Manages/directs the activities and people associated with small to large scale projects with a focus on any or several non-IT business applications and disciplines. Manage/direct all facets of single or multiple, multidimensional, mission-critical projects through the Full Project Life Cycle. Collaborate/work with project sponsors, business units and users to identify project scope and focus, develop or monitor project initiatives, implement project requirements/plans/processes/tools, assign/guide/monitor project staff, and assure project success. Deliver quality project solutions to business problems or issues within defined budgets and/or timelines. Provide expert project guidance/support proactively through project completion. Provide tracking, reporting, and presentation to management and users.
