Position Summary

The Operations Manager oversees the day-to-day administrative and operational functions of the Arizona and New Mexico Chapters, ensuring efficient and effective support across multiple locations. As a member of the Chapter management team, this role partners with department leaders to drive operational excellence and support goals. Key responsibilities include facilities management, budgeting/financial administration, vendor and contract management, information technology coordination, board and committee support, and operational logistics. The Operations Manager also provides executive-level support to the Executive Director and serves as a key liaison with national office partners, vendors, and external stakeholders.

Responsibilities
  • Lead operations for Chapter offices in New Mexico and Arizona.
  • Serve on the Chapter management team, contributing to planning, efficiencies, and cross-functional collaboration.
  • Support the Executive Director with budgeting, reporting, analysis, special projects, and administrative priorities; develop and manage operating budgets for supplies, equipment, furniture, and technology.
  • Coordinate meetings, travel, events, and logistics for staff and volunteers.
  • With hiring managers and HR, support recruitment, interviews, onboarding, and offboarding.
  • Manage office space planning, reconfigurations, facilities, budgeting, procurement, and maintenance across all locations; partner with the Real Estate Department on lease negotiations and other real estate matters.
  • Oversee certificates of insurance, vendor documentation, and event-related compliance requirements.
  • Manage Chapter mail, donation processing, sponsorships, invoices, payments, and check handling activities.
  • Serve as the primary liaison between the Chapter, home office, and IT vendors; coordinate training and implementations; manage technology inventory, lifecycle planning, procurement, and new hire equipment provisioning.
  • Manage Chapter records, contracts, vendor relationships, bid processes, and purchasing agreements.
  • Support the Executive Director and department leaders in administering Board and committee activities, including logistics, materials, and meeting minutes.
Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • Three or more years of operations, office management, or administrative support experience.
  • Bilingual Spanish-English preferred.
Knowledge, Skills and Abilities
  • Experience managing budgets and financial processes.
  • Strong organizational skills with the ability to work independently and ensure accuracy and attention to detail.
  • Strong interpersonal, verbal, and collaboration skills, with the ability to build relationships and work effectively across teams.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), databases, Google Workspace, and standard office technology.
  • Strong written communication skills, including business correspondence, meeting documentation, and minute-taking.
  • Ability to travel up to 15%, including occasional overnight and air travel; valid driver’s license, reliable transportation, and acceptable driving record required.
  • Ability to work occasional evenings and weekends as needed.
  • Ability to lift and transport materials weighing up to 25 pounds.

Position Grade & Compensation: Grade 205. The Alzheimer's Association’s good faith expectation for the salary range for this role is between $55,000 – 65,000.
