Job Overview

The Operations Manager is responsible for leading and optimizing operational and administrative functions across the Minnesota market. This role oversees office operations, administrative teams, business processes, technology coordination, performance reporting, and vendor relationships to ensure efficient day-to-day operations. The Operations Manager partners closely with executive leadership, property management teams, accounting, and IT to drive operational excellence, support business initiatives, maintain a productive workplace environment, and enhance organizational performance and service delivery. The position also provides supervisory leadership, coaching, and development for operations and administrative staff.

Your Responsibilities
Team and Operational Excellence
  • Provide oversight and administration to support Management Agreements, partnering and communicating with leadership, corporate and client accounting to ensure accurate billing.
  • Responsible for the oversight and maintenance of the Master Property Matrix, distributing as necessary.
  • Oversee both direct and indirect reporting for essential administrative functions in the Minnesota market. This includes managing operations supervisor and consulting with Front Desk Associates at corporate offices and partnering with the North Region to support the Connect team, RSS and CSS and other administrative/operations functions.
  • Contribute and participate as a member of the Executive Leadership Team on all operational items relating to the “heart of house” and the corporate offices.
  • Work with property management Executive Leadership teams to regularly assess success and opportunities for improvement among “heart of house” teams and work informally with Regional Directors to achieve measurable performance goals set by property management teams.
  • Partner with Vice President IT, National IT, Regional IT contact and local technology support vendor partners (currently HVG) to assist in addressing technology issues and opportunities within the Minnesota Market.
  • Provide leadership and oversight to the on-call process in coordination with third-party vendors, National Customer Care team and local Connect team.
  • Manage property systems, maintenance services, and related issues for both corporate offices to maintain and hospitable, safe, and enjoyable work environment. This includes managing the office Salto security systems and emergency response system(s).
  • Lead, participate and consult on cross-functional teams meetings and initiatives.
Office Operations
  • Manage office equipment and assets including, but not limited to, copiers, phones, printers, mail machines, and office supplies, file bridge storage facility and related software.
  • Serve as the operational lead for promoting a sustainable office environment by identifying opportunities for improvement and establishing key performance metrics related to energy consumption, recycling, paper usage, and other sustainability initiatives.
  • Manage communications and training for Minnesota market related to IT, telecommunications, SharePoint, and other operational initiatives.
  • Assist with onboarding for corporate associates, including providing technology, administrative support, and related resources to assist with job performance.
Communications and Data Services
  • Support the Minnesota team by routinely communicating and training on relevant operational and system changes
  • Manage and maintain SimplrHub with relevant information, resources and communication and act as the MN Markets main contact.
  • Maintain tracking and reporting of key operational business performance metrics.
Additional Duties
  • Support and provide oversight as needed for key ancillary revenue generating business opportunities to ensure accuracy and consistency.
  • Support the management of key programs such as the VIVE program, ensuring compliance, training and success of the program(s).
  • Practice and adhere to FirstService Residential Global Services Standards and participate in company initiatives, including FirstCall.
  • Conduct business at all times with the highest standard of personal, professional, and ethical conduct.
  • Perform or assist with operations as required and maintain workflow to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in a variety of meetings and work groups to successfully integrate company platforms and functions.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks, and other related duties as assigned.
Supervisory Responsibilities
  • Provides direct supervision for Operations Supervisor and indirect supervision of office administration team.
  • Assign, monitor, and manage tasks and responsibilities; evaluate performance on a regular basis. Provide coaching and disciplinary actions, as necessary.
  • Assist with interviewing, hiring, onboarding, and training new associates.
Skills & Qualifications
  • At least 7 years previous supervisory experience in administration and/or operations
  • High School diploma or GED required
  • Associate or bachelor’s degree in business field or Property Management and/or at least 5 years of transferable work experience preferred
  • Advanced proficiency in MS Excel, Word, and PowerPoint strongly preferred
Physical Requirements
  • Sitting at a desk for extended periods of time
  • Vision and hearing for computer and phone use
  • Dexterity for keyboard and mouse use
  • Ability to move up to 30 pounds

Compensation: $80,000.00 - $90,000.00 annually
