The Chester County Youth Orchestra (CCYO) seeks a highly organized, proactive Director of Operations to lead the organization's day-to-day operations, administration, communications, and event coordination.

Working in partnership with the Music Director and Board of Directors, the Director of Operations ensures the successful execution of CCYO's programs by providing exceptional support to students, families, volunteers, donors, and community partners.

Qualifications

  • Bachelor’s degree or equivalent experience in a related field.
  • Strong organizational and project management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Experience coordinating events, operations, or nonprofit programs preferred.
  • Ability to manage multiple priorities and work independently.
  • Experience with marketing, social media, website management, and digital communications.
  • Interest in music education and youth arts programming strongly preferred.

Responsibilities

  • Coordinate all rehearsal and performance facility needs. Attend rehearsals, concerts, auditions, and CCYO events.
  • Serve as the primary point of contact for the organization; coordinate recruitment and auditions; oversee website and social media; produce programs and newsletters.
  • Maintain records, calendars, fundraising, sponsorships, donor stewardship, and collaborate with the Music Director and Board on priorities.

About the Chester County Youth Orchestra (CCYO)

The Chester County Youth Orchestra (CCYO) is a nonprofit organization dedicated to providing young musicians in southeastern Pennsylvania the opportunity to grow musically by performing challenging works from the standard orchestral repertoire. CCYO accepts talented musicians ages 12 to 18 through an audition process and presents a nine-month concert season.

Role Overview

The Chester County Youth Orchestra (CCYO) seeks a highly organized, proactive, and collaborative Director of Operations to lead the organization's day-to-day operations, administration, communications, and event coordination.

Working in partnership with the Music Director and Board of Directors, the Director of Operations ensures the successful execution of CCYO's programs by providing exceptional support to students, families, volunteers, donors, and community partners. This role is ideal for a hands‑on professional who enjoys building relationships, solving problems, managing details, and turning plans into action.

Key Responsibilities

Manage rehearsal and concert logistics:

  • Coordinate all rehearsal and performance facility needs.
  • Attend all rehearsals, concerts, auditions, and CCYO events.
  • Track student attendance.
  • Recruit and schedule volunteers for all events.

Oversee organization communications:

  • Serve as the primary point of contact for the organization.
  • Coordinate student recruitment and auditions.
  • Oversee website and social media management.
  • Produce concert programs, newsletters, and promotional materials.

Act as the operational lead:

  • Maintain organizational records, calendars, and organizational systems.
  • Coordinate fundraising, sponsorships, and donor stewardship.
  • Work with the Music Director and Board to implement organizational priorities.
  • Developing marketing and audience engagement initiatives.
Qualifications
  • Bachelor’s degree in Arts Administration, Music, Education, Nonprofit Management, or a related field (or equivalent experience)
  • Strong organizational and project management skills with attention to detail
  • Excellent written and verbal communication skills
  • Experience coordinating events, operations, or nonprofit programs preferred.
  • Ability to manage multiple priorities and work independently
  • Experience with marketing, social media, website management, and digital communications.
  • Demonstrated ability to work collaboratively with all stakeholders
  • Interest in music education and youth arts programming strongly preferred
  • Availability to attend Wednesday evening rehearsals (September through May at Peirce Middle School, West Chester, PA), concerts, auditions, fundraisers, and some occasional weekend or evening events.
