Job summary

CAMBA in Brooklyn, NY is hiring an Operations Coordinator for the HASA housing program. You will coordinate leases, inspect readiness for occupancy, arrange utilities, and support case managers and clients throughout the process.

The role reports to the Senior Program Director, requires strong communication skills and experience with housing services, and offers a comprehensive benefits package and a full-time schedule.

Qualifications

  • Experience with housing programs and client services is preferred.
  • Strong written and verbal communication skills.
  • Computer literacy including Microsoft Office Suite.

Responsibilities

  • Identify suitable apartment for eligible clients.
  • Obtain leases and documentation from landlord and prepare lease packages for processing.
  • Submit lease packages for review to Operation Supervisor/Senior Program Manager in a timely manner.
  • Ensure apartment units are ready prior to occupancy.
  • Schedule and accompany new clients and current clients to apartment viewings.
  • Set up utilities with electric and gas companies.
  • Input all client services into the program’s database (Client Track, CAPS, etc.).
  • Prepare weekly vacancy reports and track lease expiration dates.
  • Review and submit utility bills to the fiscal department weekly.

CAMBA serves a diverse cross section of New Yorkers from new mothers in Brownsville to job seekers in the Rockaways. More than half of our clients are immigrants and refugees from around the globe. Over 85% of our families live in poverty, reflecting the challenges faced by nearly 1.7 million New Yorkers today.

The program provides 270 scattered-site scattered units of supportive housing to HIV/AIDS Services Administration (HASA) clients. HASA is the sole referral source for this program. All the units are leased in the agency’s name and sublet to clients who are single individuals; however, the primary client’s spouse/domestic partner and/or their minor or adult children can reside in the unit with the proper documentation. The program has two components to assist clients succeed: case management services and housing services. Case management staff focus on removing barriers for clients to maintain medical care and achieve viral suppression by ensuring that all clients’ basic needs are met by connecting them to needed services, such as medical, mental health and/or substance abuse services. The housing component focuses on ensuring units meet habitability standards by working with landlords, management companies, property managers and/or property superintendents to address repair issues and complete needed repairs in a timely manner. This component also identifies new units, negotiates/prepares leases and gets vacant units ready for occupancy. In addition, clients with no income receive partial financial assistance towards their utility bills. Clients with an income other than Public Assistance must pay a portion of their household’s income to the program as rent.

What Does The Operations Coordinator Do
  • Identify suitable apartment for eligible clients.
  • Obtain leases and other required documentation from landlord and prepares lease packages for processing.
  • Submits new leases and/or lease renewal packages for review to Operation Supervisor/Senior Program Manager in a timely manner.
  • Ensures that apartment units are ready prior to occupancy.
  • Schedules and accompanies new clients and current clients, if needed, to apartment viewings.
  • Set up utilities with electric and gas utility companies.
  • Prepare and submit furniture request for new apartment set-up.
  • Prepare new start-up supplies for new incoming clients.
  • Schedule and participate in all clients move ins.
  • Act as liaison between case managers, maintenance workers, and agency’s fiscal department to address various issues i.e., housing plans, maintenance work/repairs, fiscal issues.
  • Submit program’s weekly vacancy report on a weekly basis.
  • Keep track of expiration dates of leases.
  • Process work orders as needed and reviews all signed work orders to ensure work has been done.
  • Reviews all utility bills and submits to agency’s fiscal department on a weekly basis.
  • Investigate clients’ complaints of unpaid utility bills with agency’s fiscal department, case conference with case manager and client if necessary.
  • Conduct program required unit inspections as required by funding source.
  • Maintain accurate records (i.e., furniture, maintenance supplies, food, office stock) on premises and/or in community-based apartments.
  • Input all provided client related services into program’s assigned database- i.e. Client Track, CAPS, etc.
  • Request Emergency Assistance to assist clients in paying clients’ portion of utility bills, if needed.
  • Respond immediately to emergencies and inform supervisor.
  • Participate in administrative and staff meetings as requested.
  • Provide all required information for weekly/monthly/quarterly/annual reports to CAMBA management and/or to funders.
  • Other duties as assigned.
What Are The Qualifications For The Position
  • Sufficient education and technical expertise: to comprehend written and oral instructions (work orders); basic math to accomplish maintenance tasks; and to document accomplished tasks.
Minimum Experiences And Skills Required
  • Relevant experience, preferably in a mid-sized (250+ employees) organization working with persons with a history of homelessness, mental illness, and/or substance abuse.
  • Good written & verbal communication.
  • Computer literacy in Microsoft Office Suite.
Preferred Qualifications
  • Bi-lingual English and Spanish.

$53,045 annually
