MRI Software in Minnesota is seeking a Part-Time Screening Processing Coordinator to conduct on-site criminal court record research at the Hennepin County Government Center and document findings accurately. Qualifications

  • Strong attention to detail and ability to follow documented procedures.

Responsibilities

  • Courthouse criminal record research using public access resources.
  • Review screening requests and prioritize per procedures.
  • Search court records with name variations and identifiers.
  • Evaluate potential matches with available information and judgment.
  • Document findings accurately and complete when no records exist.
  • Resolve special requests involving verification or discrepancies.
  • Follow quality-control rules and escalate uncertain matches.
  • Maintain confidentiality of PII throughout the process.
  • Support fingerprint card preparation and related tasks as needed.
  • Deliver fingerprint cards to BCA; track submissions and results.
  • Provide backup administrative, courier, and records-processing support.

Screening Processing Coordinator (Part-Time)
Job Summary

The Screening Processing Coordinator is responsible for conducting on-site criminal court record research at the Hennepin County Government Center and accurately documenting applicable results in accordance with established procedures. Court runner responsibilities are the primary focus of this part-time position. Fingerprint card processing, BCA private search support, and related administrative duties are secondary and backup responsibilities performed based on staffing needs and work volume. The position is process-driven, highly documented, and focused on accuracy, timeliness, confidentiality, sound judgment, and reliable execution rather than client-facing support.

Reporting Structure

Reports to: Senior Manager, Screening Operations

Schedule & Work Location
  • Part-time position: 25 hours per week
  • Working days: Monday through Friday, five hours per day
  • Hours are flexible and may be worked at any time between 8:00 AM and 4:30 PM CST/CDT; the daily schedule may vary as needed
  • Employee may choose a 30- or 60-minute lunch
  • Primary work location: Hennepin County Government Center, 300 South 6th St, Minneapolis, MN 55487
  • The employee should expect to work the full 25-hour weekly schedule on site. Approximately 80% of working time will be spent at the assigned Minnesota courthouse, with the remaining time divided between the Minnesota office and Minnesota BCA office based on operational needs
  • Must be located in the greater Minneapolis-St. Paul, Minnesota area
  • Must have reliable personal transportation and the ability to travel between the courthouse, Minnesota office, and Minnesota BCA office
Key Responsibilities
  • Primary Responsibility: Courthouse Criminal Record Research
  • Conduct criminal court record research using public access resources available at the assigned Minnesota courthouse
  • Review assigned screening requests and prioritize work according to established procedures and operational needs
  • Search available court records carefully, including reasonable name variations and other identifying information when needed
  • Evaluate potential record matches using available identifying information and sound judgment
  • Accurately document applicable criminal court records and supporting information in accordance with established procedures
  • Complete and document requests when no applicable criminal records are located
  • Research and resolve special requests involving record verification, corrections, or discrepancies
  • Follow quality-control requirements and promptly elevate uncertain matches, incomplete information, access issues, or other exceptions
  • Maintain confidentiality and protect personally identifiable information throughout the research and documentation process
  • Secondary and Backup Responsibilities
  • Support fingerprint card preparation, distribution, collection, quality review, and consent tracking as staffing and volume require.
  • Deliver fingerprint cards to the Minnesota BCA, track submissions and results, update internal records, and securely handle and dispose of related documentation.
  • Provide backup administrative, courier, records-processing, and process-compliance support based on operational priorities.
Required Skills & Qualifications

  • Reliable personal transportation required, including the ability to travel regularly between the courthouse, Minnesota office, and Minnesota BCA office
  • Ability to work the required part-time schedule: Monday through Friday, five hours per day, within the hours of 8:00 AM to 4:30 PM CST/CDT
  • Basic computer proficiency, including ability to enter data, scan documents, attach files, update tracking records, and use internal systems
  • Strong attention to detail and ability to follow established, documented procedures consistently
  • Minimum critical thinking and problem-solving skills needed to evaluate potential record matches, identify missing or conflicting information, recognize incomplete documentation, and address process exceptions
  • Ability to handle confidential information and PII with care and discretion
  • Dependable, organized, and comfortable performing repetitive research and administrative tasks with accuracy
  • Strong time-management skills and ability to work independently while consistently completing assigned work
  • Clear written and verbal communication skills, including the ability to document findings and elevate questions or exceptions
  • Ability to physically handle, stamp, scan, mail, transport, and securely dispose of paper documents
Preferred Qualifications
  • Prior experience in an administrative, records processing, court records, mailroom, courier, compliance support, or operations support role
  • Experience working with confidential documents or personally identifiable information
  • Experience conducting detailed records research or reviewing information for accuracy and completeness
  • Experience using tracking systems, spreadsheets, or case-management tools
  • Familiarity with structured process documentation, checklists, or audit-sensitive workflows
Additional Notes
  • No prior experience with court record research, fingerprinting, BCA private searches, employment screening, or the screening industry is required
  • Minimal client communication is expected; the role primarily supports internal resources and process execution
  • Court runner responsibilities are the primary duties of the role; fingerprint card, BCA private search, and related processing duties serve as secondary or backup responsibilities based on staffing and volume
