Job summary

Instruction Partners is seeking an Elementary Reading Operations Coordinator to support the Elementary Reading team. This full-time, remote role coordinates logistics for partner delivery, meetings, and training, ensuring scheduling and tracking across programs.

Operations Coordinator, Elementary Reading Initiative

This is a full-time, remote position anywhere in the contiguous United States, with national travel expected up to 25%.

What You’ll Do

As the Elementary Reading Operations Coordinator, you will be a part of the Elementary Reading team. The Elementary Reading team designs, delivers, and continuously improves two learning pilots: Early Literacy Pilot and the Elementary Reading Initiative. The Elementary Reading Operations Coordinator will support Elementary Reading team members with operations and logistics needs. In this role, you will ensure all partnership work runs smoothly by planning and executing logistics related to partner delivery, meetings, and training, as well as by maintaining scheduling, deliverables tracking, and financial tracking systems. This role will play a critical part in supporting the weekly and monthly coordination and execution of partner school system deliverables. The Elementary Reading Operations Coordinator reports to the Executive Director of Elementary Reading.

Responsibilities

Project & Operational Coordination

• Coordinates virtual and in-person meetings, trainings, and service-delivery events by scheduling sessions, preparing logistics, and organizing access to resources and materials
• Supports team operations by managing senior leaders’ calendars and arranging travel, as requested
• Provides adaptive operational support during periods of change by assisting with scheduling, materials preparation, resource access, and systems tasks as needed
• Prepares high-quality materials by copy‑editing, formatting, printing, and assembling partner‑specific resources, summary reports, and presentations
• Maintains team knowledge‑management systems by organizing shared materials and applying existing tools to support effective information storage and access
• Develops meeting artifacts by drafting agendas and managing pre‑ and post‑meeting communications for team meetings, professional learning sessions, and retreats

Data & Information Management

• Maintains project and financial tracking systems by updating work trackers, monitoring contract deliverables, and coordinating with Finance on partner invoicing
• Analyzes survey data and partner‑progress information to support internal learning and inform problem‑solving

Candidate Qualifications and Traits

• 3+ years of experience with logistics planning
• K–12 Education System Awareness: Understanding of the structure, priorities, and operational realities of school systems and instructional initiatives, enabling contextually informed support for teams working with districts and schools
• Complex Project & Workflow Management: Expertise in structuring, organizing, and tracking multi‑step, concurrent project work by using clear systems, timelines, and processes to maintain accuracy and momentum across workstreams
• Operational Technology & Knowledge Management: Demonstrates high proficiency with administrative and productivity technologies (e.g., Microsoft Office, Google Suite, Zoom, digital storage platforms) and applies strong information‑management practices to maintain organized, accessible, and well‑structured materials and data
• Analytical Problem Solving & Clear Communication: Applies strong reasoning skills to interpret information, anticipate needs, navigate ambiguity, and convey complex details clearly and concisely in both written and verbal communication
• Collaborative, Service-Driven Professional Practice: Expertise in working effectively within fast‑paced, interdependent teams, demonstrating reliability, responsiveness, and a commitment to supporting colleagues and partners with a high standard of professionalism
• Logistics Planning & Coordination: Understanding of the principles of effective logistical planning, including sequencing, participant preparation, and event workflows to ensure smooth execution of meetings, trainings, and operational processes

Compensation
