Operations Coordinator

Location: San Francisco, CA (Onsite, Monday–Friday, 8 AM–5 PM)

Duration: 6–12 month contract

Pay: $40/hr

My client, a world-renowned creative collective known for its collaborations across art, design, and technology, is seeking an Operations Coordinator to support the corporation. This individual will work from a 14,000-square-foot warehouse space in San Francisco, assisting with daily logistics, warehouse management, collections archiving, and a variety of operational and administrative tasks. The role will also involve handling and tracking incoming and outgoing packages, coordinating with UPS, FedEx, and other shipping services, and ensuring timely and accurate deliveries.

Overview

This is a dynamic, hands-on position ideal for someone who enjoys working across multiple disciplines—from collections and archiving to shipping logistics, expense coordination, and operational support. The Operations Coordinator will report to the Warehouse Manager and work closely with the leadership team to ensure seamless coordination between the company.

Responsibilities

Warehouse & Logistics Management

  • Oversee daily operations of the 14,000 sq. ft. warehouse, ensuring organization, cleanliness, and proper storage.
  • Manage incoming and outgoing shipments for the studio and family, including tracking, customs issues, UPS/FedEx coordination, and courier arrangements.
  • Support large-scale shipping projects, including the annual gifting initiative of over 900 packages during the holiday season.
  • Maintain property keys, Airtag database, and assist with building maintenance and vendor coordination.

Collections & Archiving

  • Assist in cataloging and photographing items for the company and family art collections.
  • Maintain digital records and databases for artwork, artifacts, and high-value items stored across multiple properties.
  • Support conservation and reframing projects, track movements between locations, and liaise with preservation partners.
  • Help manage documentation for valuable articles insurance policies.

Finance & Administrative Support

  • Process expense reports and credit card statements for both studio and family operations, ensuring accurate record-keeping and coding.
  • Assist with monthly reconciliations, data entry, and tracking of purchases, subscriptions, and software renewals.
  • Send, track, and file NDAs and other confidential documents through DocuSign.
  • Support supply management and replenishment for warehouse, studio, and household needs.

Special Projects & Family Support

  • Coordinate occasional personal or family-related projects, including shipments, supply runs, and event-related tasks.
  • Utilize in-house laser cutter for small signage, nameplates, or labeling projects.
  • Provide general administrative support, help with scheduling, and maintain communication across teams.
Qualifications
  • 3+ years of experience in operations, logistics, collections management, or administrative support.
  • Strong organizational and multitasking skills with excellent attention to detail and follow-through.
  • Proficiency with Microsoft Office or Google Workspace; familiarity with databases or cataloging systems preferred.
  • Financial or expense-tracking experience a plus (Expensify, Divvy, or similar tools).
  • Experience handling or shipping artwork, collectibles, or luxury goods highly desirable.
  • Background or interest in art, museums, or creative environments helpful but not required.
  • Comfortable working onsite full-time in a warehouse environment in San Francisco.
