Job summary

Natural Retreats in Park City, Utah is seeking an Operations Coordinator to support Maintenance and Housekeeping by handling administration, vehicle inventory, scheduling, and license renewals. The role requires meticulous attention to detail and proficiency with multiple software tools.

You will work with the management team to ensure timely invoicing, accurate owner statements, and on-time reporting while maintaining professional communication with guests, owners, and partners.

Responsibilities

  • Enter and close work orders daily.
  • Verify all charges are posted for month end.
  • Post charges, review owner statements, and adjust as needed.
  • Schedule pre-audit of owner statements with Maintenance Manager.
  • Ensure inventories are completed monthly and reported to accounting.
  • Submit business license applications and renewals on time.
  • Record renewals and health permits where applicable.
  • Communicate repairs and maintenance needs to management.
  • Assist maintenance in ordering supplies.
  • Maintain records and inventory for vehicle fleet.

Job description

Natural Retreats is hiring an Operations Coordinator to join our Park City, UT team! The Operations Coordinator is responsible for assisting the Maintenance and Housekeeping Departments in the administration of their duties. Additionally, the Operations Coordinator will be responsible for company vehicle inventory, including scheduling all required maintenance needs and registration renewals. Our team is expected to contribute to exceptional experiences for guests, owners, colleagues, and business partners through personal accountability, collaboration, adaptability, sound decision-making, and a commitment to results. This includes building positive relationships, communicating effectively, responding constructively to challenges, and taking ownership for delivering high-quality work that supports team and organizational success. This position requires great attention to detail, the ability to utilize various software programs in the execution of required tasks, and familiarity with invoicing and supply inventory. The ideal person for this role will be comfortable managing multiple demands on their time and interacting with a variety of people in a professional, courteous manner.

COMPENSATION: $23 - $25 / hr. dependent upon experience

ESSENTIAL FUNCTIONS:
  • Enter and close workorders daily.
  • Verify all charges are posted for month end.
  • Post all charges, organize owner statement review, and make any necessary changes prior to each month's deadline.
  • Schedule pre-audit of owner statements with Maintenance Manager.
  • Verify that inventories are being completed by the due date each month and are compiled and turned into accounting on time each month.
  • Ensure that business license applications for all new homes / condos are submitted in a timely manner with the proper licensing agency.
  • Ensure all business license renewalsand health permit renewal where applicable are recorded and filed annually within the license renewal period.
  • Promptly communicate both emergency/unscheduled repairs and needed maintenance repairs to the management team.
  • Assist maintenance techs in ordering supplies.
  • Maintain records and inventory on vehicle fleet.

POSITION TYPE/HOURS OF WORK:

This is a full-time position. Due to the nature of the job, the Operations Coordinator should be flexible with their hours. Weekends and holidays are required and will generally be busy and considered working days with guest arrivals and departures although these can be covered on request and approval. We encourage all of our Team Members to take 2 days off per week where possible. Guests can arrive at unpredictable times, and the Operations Coordinator should always be available in case of emergency, which includes some on-call hours. Generally, this means working some inconsistent hours. Exact daily schedule may vary and differ from in-season to off-season. Vacation is generally taken out of peak season.
