Qualifications

Responsibilities

  • Coordinate office activities and manage interdepartmental communications.
  • Assist with compliance tasks including data verification and documentation.
  • Process invoices, purchase orders, and ordering for Central Office.
  • Organize meetings, host visitors, and support onsite events.
  • Create and maintain an Operations manual and other department guides.
  • Handle front desk duties and daily administrative tasks.

JOB DESCRIPTION

Job Title: Operations Coordinator

Supervisor: Chief Operating Officer

Hours: 8:30 a.m. - 4:30 p.m.

Calendar to Follow: Academic Calendar

Status: Exempt

Term: 12-month Agreement

Salary: $70,000 - $80,000

The Operations Coordinator provides essential support to the Central Office and school leadership at Cooke School and Institute. Reporting to the Chief Operating Officer the Operations Coordinator performs logistical work of a high level with minimal supervision contributing to an organized and efficient school office environment. This person plays an integral role in sustaining the daily operations of the school and the business office.

Primary Duties
  • Key logistics manager - coordinates and organizes office activities and manages the flow of communications and information across departments; provide general administrative assistance for a wide range of operations
  • Responsible for compliance related tasks such as data verification, reporting, certification and documentation related to school and government programs
  • Assist with expense management which may include: the processing and following up on invoices, purchase orders, and ordering special items for the Central Office departments
  • Manage meeting logistics and hosting visitors - aids in the scheduling, set up and general preparation for outside visitors and interdepartmental meetings
  • Key staff for events - provide support to various departments hosting onsite events (e.g., Board meetings, outside visitors, etc.)
  • Independently manage small administrative projects, such as compiling departmental guides into a single operations manual
  • Assists in managing communications with outside groups and vendors on behalf of the Operations team
  • Serves as contact person for general Central Office related inquiries
  • Maintain and organize all relevant information, files, and documents; answer the phone, provide coverage for the front desk, and perform daily administrative tasks and other duties needed to support the Central Office and school leadership
  • Performing other duties as assigned to support the general operations of the school

Experience and qualifications
  • Associate Degree or equivalent experience
  • Minimum 3 years professional experience
  • Performs administrative work of a high level with minimal direction and supervision.
  • Strong written and verbal communication skills
  • Outstanding interpersonal skills, integrity, and strong work ethic.
  • Ability to work creatively and with a sense of urgency and to make quick decisions, take initiative, and prioritize tasks.
  • Attention to detail and resourcefulness
  • Technologically savvy and strong proficiency in Google environment, Excel, and database programs, as well as interest and ability to learn new technology platforms and systems.

All Cooke staff are responsible for developing a professional growth plan with their supervisor. Staff training is an integral part of the Cooke school and as such is a requirement of the job. All staff must at a minimum: attend all scheduled Staff Development activities throughout the year and participate in staff orientation scheduled for the last week in August.
