Position Summary

The Operations Assistant supports the operations of assigned inpatient area(s), focusing on equipment, compliance, monitoring, and safety. They monitor all aspects of the environment, equipment, and furniture, serving as a liaison with other departments for problem resolution. They also perform duties as a Patient Experience Representative when needed, working to ensure the best possible patient experience through effective coordination of services to patients and families.

Key Responsibilities
  1. Oversee daily clinical operations and coordinate with departments such as Engineering, Environmental Services, and Health Technology to resolve equipment, safety, and compliance issues.
  2. Participate in daily safety huddles to address safety and regulatory compliance.
  3. Visually monitor the environment for compliance with regulatory agencies, including JCAHO, covering equipment checks, fire and life safety, and monitoring of compressed gas cylinders.
  4. Participate in Engineering/Safety/ESD rounds and maintain compliance with safety requirements.
  5. Conduct weekly audits, including eye wash stations, organization of storage areas, elevators, and emergency equipment.
  6. Interface continuously with staff regarding equipment needs and resolve issues promptly.
  7. Collaborate with Health Technology Management to resolve medical equipment issues.
  8. Conduct inventory of equipment and notify supervisors of missing items.
  9. Stock and organize supplies in assigned areas.
  10. Answer, screen, and route telephone calls.
  11. Greet and direct patients, families, and visitors.
  12. Monitor daily schedule and patient flow to optimize resource utilization and patient experience.
  13. Communicate with clinicians and supervisors to route patients/visitors efficiently.
  14. Utilize systems to manage patient information and requests.
  15. Perform routine administrative duties.
  16. Organize and schedule conferences, seminars, and department programs.
Minimum Qualifications

Education: High school diploma required.

Experience:

  • One year of customer service, administrative, or healthcare setting experience.
  • Basic knowledge of clinical, operational, safety, and compliance needs of departments.
  • Ability to interpret and apply safety and compliance guidelines.
Schedule & Physical Requirements

Schedule: Monday - Friday, 6:30 a.m. to 3:00 p.m.

Physical Requirements:

  • Frequent lifting and carrying of patients, children, or objects up to 10 pounds.
  • Regular reaching, grasping, and fine manipulation.
  • Proofreading and checking documents for accuracy.
