Columbia University in New York seeks an Officer of Administration to oversee financial management for the IEOR department, manage casual hiring, timesheets, and related records. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Reporting to the Associate Director of Finance and Operations, the incumbent will oversee financial management for the Department of Industrial Engineering and Operations (IEOR), including department expenditures and day-to-day financial and operational activities. The incumbent will manage the full hiring and appointment process for student casual employees; develop and implement best practices and standardized processes for casual hiring in collaboration with other SEAS departments and University partners; review, approve, and process timesheets and related reports for finance interns, student instructional workers, tutors, ambassadors, and other casual employees; maintain and communicate department policies, procedures, and operational guidelines; ensure accurate documentation and records are maintained to support audits and record-retention requirements; prepare, monitor, and analyze departmental financial reports; and coordinate periodic IEOR departmental marketing materials and related operational activities.
A bachelor's degree and a minimum of 2-4 years of related operations and/or human resources experience required.
Must be able to learn university electronic processing systems quickly. Experience with university electronic systems (payroll and hr) and databases is strongly desirable.
Rigorous attention to detail and accuracy is essential; managing multiple priorities with poise and discretion is required.
Strong computer literacy/proficiency required: an understanding and appreciation of higher education applications, and on-line resources, and the willingness to respond to the needs of faculty, staff, and students in a technologically-oriented society. Proficiency with Google suite of products, MS Office (Word,Excel,etc.), and publishing software, is a must.
Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.
Candidate must exercise good judgment and flexibility, with a student-wellness mindset. Positive, mission-oriented, forward-thinking attitude and sense of humor a must.
Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni. Excellent command of English (verbal and written).
