Job description

Coordinates daily activities of the Lab support service staff. Oversees payroll functions of the Lab Support Service staff.

Essential Job Functions

  • Orients, and educates Laboratory personnel in the area of scheduling.
    • Assists in the screening to hire process for support service candidates.
    • Performs effectively in the role of preceptor/mentor to new hires.
  • Develops evaluates and standardizes QA/CAP required procedures to improve efficiency.
    • Resolves clerical problems.
    • Utilizes staff input to ensure compliance with new procedures.
  • Processes department payroll.
    • Maintains employee profile for the department
    • Notifies Supervisor of any time overages within the department.
  • Assists Supervisor with daily staff management.
    • Utilizes personnel resources in an effective and efficient manner. Participates as part of the Lab SS leadership team, encouraging staff involvement in improving performance, efficiency and problem solving.
    • Assists in maintaining/decreasing organizational/departmental costs.
    • Responsible for the staffing schedule insuring adequate coverage. Monitors staff time and attendance.
  • Provides input into performance appraisals and hiring decisions. May conduct interviews with Supervisor
  • Assists Supervisor/director in other departmental activities.
    • Serves as communication facilitator for support service.
    • Point of Contact for Lab customer service. Performs customer service investigation/follow up.
    • Acts as a resource to the staff to address and resolve customer service issues.
    • Participates as part of the Lab leadership team to identify service excellence issues and develop initiatives to improve performance.
    • Demonstrates an ability to solve problems independently and seeks assistance from immediate supervisor when appropriate.
    • Effectively functions as a resource person.
  • Assists with Sunquest/STAR systems
    • Works with Lab Biller to ensures proper charging of services to realize maximum revenue.
    • Assists Lab Biller with Investigating charging discrepancies as identified by the patient accounting department.
    • Ensures that reports in LIS systems are released in a timely manner per department protocols.
  • Maintains department records for the department
    • Maintains and distributes departmental meeting minutes.
    • Maintains information related to departmental performance improvement initiatives.
  • Assists the Supervisor to maintain continuous compliance with all regulatory agencies.
    • Maintains continuous survey readiness at the hospital/QD and QDP.
    • Monitors compliance with all standards, policies and procedures, reporting to the Supervisor any areas of non-compliance for follow-up.
  • Conducts periodic staff meetings. Attends lead/department meetings.
  • Other duties as assigned.
  • Manages vehicle maintenance.
  • Manages WEX account
  • Manages multiphasic clinics.

Required Qualifications

  • High School Diploma, GED or higher level of education.
  • Two (2) years’ clerical experience, preferred in laboratory setting.
  • Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment.
  • Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.
  • Basic Math and Keyboard Proficiency
  • Functional Skills on PC and Related Software (Microsoft Office)
  • Knowledge of basic Office Equipment such as copier, fax machine, etc.
  • Basic working knowledge of computers and office equipment
  • Proficiency in the use of Excel Spreadsheets, PowerPoint, and various software programs
  • Proficiency in Microsoft Office including Outlook

Preferred Qualifications

  • Associates degree in business management preferred.
  • One (1) year of leadership experience.

License, Certification & Clearances

  • Act 34-PA Criminal Record Check from the PA State Police system

Supervisory Responsibilities

  • This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the department.

Position Type/Expected Hours of Work

  • Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.).
  • Travel may be expected locally between Excela Health locations.
