Acentra Health is looking for an Operational Readiness Professional, Mid to join our growing team.

Job Summary

The Operational Readiness Specialist plays a critical role in ensuring that Acentra Health’s BFCC-QIO operations, systems, and processes are fully aligned and prepared for launch, transition, or enhancement activities under CMS contracts. Acting as the bridge between program planning and execution, this position ensures that every operational component — from workflow design to staffing, technology, training, and compliance — is tested, validated, and ready for implementation.

This role is central to risk mitigation, performance assurance, and contract compliance, supporting Acentra Health’s mission to deliver efficient, high-quality services to Medicare beneficiaries and stakeholders.

Responsibilities
  • Lead operational readiness assessments for new initiatives, system transitions, or CMS program updates under the BFCC-QIO contract.
  • Collaborate with cross-functional teams (Operations, IT, Clinical, Data Analytics, Training, and Compliance) to ensure all launch activities are coordinated and completed on schedule.
  • Develop, manage, and track readiness plans, checklists, and milestone reports to confirm operational, technical, and contractual alignment prior to launch.
  • Conduct validation and user acceptance reviews to ensure systems (e.g., Atrezzo, eBoard, UFT) function as designed and meet operational requirements.
  • Identify, document, and elevate risks or readiness gaps, working with leadership to develop mitigation strategies that protect contract performance.
  • Coordinate with Training and Communications teams to ensure staff readiness and stakeholder awareness prior to implementation.
  • Support mock launches and simulations to test workflow efficiency, accuracy, and adherence to CMS standards.
  • Partner with Program Leadership to ensure reporting, KPIs, and evaluation measures are in place to monitor post-launch success.
  • Capture lessons learned and contribute to continuous improvement frameworks that strengthen future readiness and scalability.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications
Required Qualifications
  • Bachelor’s degree in Business Administration, Operations Management, Project Management, Healthcare Administration, or a related field.
  • Minimum 3+ years of experience in operations, implementation, or performance improvement — preferably within a CMS or federally contracted environment.
  • Strong understanding of BFCC-QIO contract requirements, operational workflows, and CMS compliance standards.
  • Demonstrated ability to manage cross-functional coordination and drive deliverables in a regulated, deadline-driven environment.
  • Excellent organizational, analytical, and problem-solving skills, with a proven ability to identify gaps and propose corrective actions.
  • Strong written and verbal communication skills with experience developing operational documentation, reports, and readiness summaries.
  • Proficiency in Microsoft Office Suite.
Preferred Qualifications
  • Experience supporting CMS quality improvement programs, Medicare operations, or healthcare appeals processes.
  • Familiarity with Lean, Six Sigma, or process optimization methodologies.
  • Prior involvement in system conversions, program transitions, or readiness assessments.
  • Proficiency in project management tools (e.g., Smartsheet, Asana, SharePoint, or similar platforms).

Experience In Lieu Of Degree

For non-clinical roles, or when not required by the contract specifically, the Company acknowledges that practical, hands-on experience can provide skills and competencies equivalent to formal education. As such, in cases where a Bachelor's degree may be required, the Company will accept a minimum of six (6) years of directly relevant professional experience in lieu of a degree. In instances where the candidate has an Associate's degree, the Company will accept a minimum of three (3) years of directly relevant professional experience in lieu of the Bachelor's degree.
