Job summary

AdaptHealth LLC is seeking a Scheduling Specialist to coordinate patient appointment scheduling for DME, PAP, and oxygen equipment, ensuring timely delivery, setup, maintenance, and pickup. This role centers on delivering exceptional customer service in an in-office New Berlin, WI setting.

The position requires strong scheduling software proficiency, coordination with healthcare providers, and adherence to HIPAA and AdaptHealth’s compliance program.

Qualifications

• Education: High school diploma or equivalent; Associate’s degree preferred.
• Experience: 1 year entry; 1+ year for senior/lead levels.
• Experience in healthcare scheduling, customer service, or administrative support preferred.

Responsibilities

• Schedule and coordinate patient appointments for DME, PAP, and oxygen equipment.
• Coordinate routine maintenance visits and equipment exchanges; schedule pickups with proper documentation.
• Prioritize urgent scheduling needs and coordinate after-hours or weekend service when required.
• Communicate appointment details and changes to patients; provide excellent customer service.
• Coordinate with physicians’ offices, home health agencies, and discharge planners.
• Manage scheduling changes, cancellations, and rescheduling to minimize disruption.
• Maintain scheduling records and generate reporting for management review.
• Use scheduling software and patient management systems; update preferences and access requirements.
• Support QA initiatives and maintain HIPAA compliance.
• Complies with AdaptHealth's Compliance Program.
• Performs other duties as assigned.
