Job summary

Baxter Shared Services, part of Baxter Auto Group, seeks a Payroll Specialist to manage multi-location payroll with precision, confidentiality, and strong customer service. You will ensure compliance with federal and state laws while supporting employees, managers, and dealership leadership.

Responsibilities include data entry in Paylocity, handling garnishments, audits, and timekeeping adjustments, and collaborating with HR on benefits and new hire processes.

Qualifications

• Bachelor’s degree or equivalent experience required.
• On-site role in the Omaha metro.
• Payroll experience required.
• Must maintain confidentiality and meet deadlines; provide excellent customer service.
• Must be at least 18 years old with a valid driver's license.

Responsibilities

• Enter and maintain payroll data in Paylocity with accuracy and confidentiality.
• Provide payroll support to employees, managers, and leadership on pay plans, commissions, bonuses, garnishments, and related matters.
• Administer garnishments in compliance with laws and company policy.
• Process manual checks, stop payments, voids, direct deposits reversals, and retroactive pay adjustments.
• Conduct payroll audits to identify errors and ensure compliance with policies and laws.
• Review time and attendance records; work with managers to resolve discrepancies.
• Collaborate with leadership on payroll-related requests and compensation matters.
• Assist with employment verification and maintain payroll records.

Your Purpose As a Payroll Specialist

The Payroll Specialist processes multi-location payroll with a high degree of accuracy, confidentiality, and attention to detail. Serves as a trusted payroll resource for employees, managers, and dealership leadership by providing exceptional customer service, resolving payroll inquiries, and ensuring compliance with company policies and federal and state laws.

In Your Role

• Performs timely and accurate payroll data entry and maintenance within Paylocity, including employee changes, timekeeping adjustments, historical corrections, and payroll-related updates while ensuring data integrity.
• Provides exceptional customer service and support to employees, managers, and dealership leadership regarding payroll inquiries, pay plans, commissions, bonuses, garnishments, and other payroll-related matters.
• Administers employee garnishments in compliance with applicable federal, state, and local regulations.
• Processes manual checks, stop payments, voids, direct deposit reversals, and retroactive pay adjustments in accordance with established procedures.
• Performs payroll audits and reviews before and after payroll processing to identify errors, discrepancies, compliance risks, and payroll exceptions. Researches findings, resolves issues, and ensures payroll accuracy and compliance with company policies and applicable laws.
• Reviews and audits time and attendance records, partnering with managers and controllers to resolve missing punches, timecard discrepancies, minimum wage exceptions, and other payroll-related issues.
• Collaborates with dealership leadership regarding payroll-related requests, including pay plans, commissions, bonuses, and other compensation matters.
• Assists with employment verification requests and maintains payroll records through document scanning, filing, and organization.
• Partners with Human Resources on benefits administration, new hire processing, and employee data maintenance.
• Identifies payroll process improvement opportunities and escalates concerns or compliance risks to management as appropriate.
• Performs additional duties, special projects, and responsibilities as assigned.

Basic Qualifications

• On site role - Must be based in the metropolitan area of Omaha, Nebraska
• Payroll experience
• Bachelor’s degree or equivalent experience required
• Must maintain confidentiality, ability to handle multiple projects, ability to meet deadlines and deliver excellent customer service skills
• Must be at least 18 years of age and have a valid driver’s license to operate a motor vehicle

Additional Qualifications

• 2+ years of payroll experience preferred
• Experience with multiple types of payroll systems is a plus (e.g., ADP, Paycom, UKG)
• Demonstrated experience with audits, garnishments, and hands-on payroll processing
• Previous Paylocity experience preferred
