Job summary

The University of New England in Maine is seeking an OMM Clinical Coordinator to manage administrative support for the OMM Student Patient Clinic and collaborate with the Department Chair and colleagues across the OMM, Anatomy, Academic Affairs, and Clinical Education departments to coordinate student rotations and ensure efficient clinic operations.

Qualifications

  • Associate’s or Bachelor’s degree plus three to five years of relevant administrative or secretarial experience; or an equivalent combination of education and experience.
  • Experience providing advanced administrative support in an academic or healthcare/medical practice environment is highly preferred.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
  • Demonstrated sound judgment, professionalism, tact, and resourcefulness.
  • Ability to maintain a high level of confidentiality and handle sensitive information with discretion.
  • Strong organizational and project management skills, with the ability to prioritize multiple competing demands and manage complex projects effectively.

Responsibilities

  • Coordinate patient, pre-doctoral fellow, and student rotation scheduling and ensure efficient operation of clinic.
  • Maintain patient documentation and ensure compliance with applicable policies, procedures, and regulatory guidelines.
  • Answer phones and emails; greet patients; schedule appointments; respond to questions; and refer inquiries to appropriate personnel.
  • Collaborate with faculty and staff across departments to support clinic operations and departmental initiatives.
  • Serve as a liaison between department leadership, coordinators, and scheduling staff to coordinate schedules for faculty, students, and fellows.

Job description

The OMM Clinical Coordinator is responsible for coordinating the administrative support functions for the clinical operations and academic programming of the OMM Student Patient Clinic. The coordinator collaborates with the OMM Department Chair and colleagues across the OMM , Anatomy, Academic Affairs, and Clinical Education departments to coordinate patient, pre-doctoral fellow, and second- and fourth-year student rotation scheduling and ensure the efficient operation of clinic and academic activities.

  • Serve as the primary point of contact for UNE and non- UNE fourth-year medical students and residents seeking clinical experiences in the OMM Student Patient Clinic or opportunities to serve as teaching assistants in the Osteopathic Clinical Skills course.
  • Coordinate the schedules, assignments, assessments, and performance reporting for fourth-year medical students.
  • Coordinate schedules, assignments, assessments, documentation, and compliance for second-year medical student clinical experiences in the OMM Student Patient Clinic.
  • Maintain patient documentation for the OMM Student Patient Clinic in compliance with applicable policies, procedures, and regulatory guidelines.
  • Answer phones and emails; greet patients; schedule appointments; respond to questions; maintain HIPAA compliance; take messages; and refer patients and inquiries to appropriate personnel or departments as needed.
  • Collaborate with faculty and staff across the OMM , Academic Affairs, Clinical Education, and other College of Osteopathic Medicine departments to support clinic operations, coordinate scheduling, respond to inquiries, and assist with departmental initiatives as directed.
  • Serve as a liaison between the OMM Department Chair, academic coordinators, and scheduling staff to coordinate clinic schedules for faculty preceptors, students, and pre-doctoral fellows.
  • Facilitate effective and timely communication among key stakeholders, responding promptly and professionally to urgent or time-sensitive matters.
  • Develop, maintain, and manage computerized and paper records related to departmental operations, patient care, student activities, and academic programs.
  • Prepare and administer patient satisfaction surveys and compile quarterly and annual reports.
  • Maintain knowledge of the OMM Department Office Manager’s responsibilities to provide cross-coverage and operational support as needed.
Qualifications

Associate’s or Bachelor’s degree in liberal arts, business, or a related field, plus three to five years of relevant administrative or secretarial experience; or an equivalent combination of education and experience that provides the required knowledge, skills, and abilities.

  • Experience providing advanced administrative support in an academic or healthcare/medical practice environment is highly preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
  • Experience with Banner, Medicat, electronic health record ( EHR ) systems, or similar administrative software is preferred.
  • Demonstrated sound judgment, professionalism, tact, and resourcefulness.
  • Ability to maintain a high level of confidentiality and handle sensitive information with discretion.
  • Strong organizational and project management skills, with the ability to prioritize multiple competing demands and manage complex projects effectively.
