Summary:

The Donor Services Officer is a critical member of CAF America’s Private Donor Services team, serving as a trusted advisor and relationship manager for a portfolio of high-value clients. This role combines strategic relationship building, philanthropic consulting, and operational excellence to deliver a best-in-class donor experience. The Donor Services Officer will ensure the seamless execution of international grantmaking activities while cultivating meaningful, long-term relationships that align with the donor’s philanthropic vision and goals. This role works closely with the Coordinators on the Donor Services team in managing client relationships that empower donors to maximize their charitable impact.

Duties and Responsibilities:

Relationship Management and Donor Engagement

  • Serve as the primary point of contact for a portfolio of private donors, providing proactive, tailored support and building strong, trust-based relationships.
  • Engage in strategic conversations to understand donor motivations, goals, and preferences, and identify opportunities to deepen engagement.
  • Respond promptly and professionally to donor inquiries and concerns, ensuring a high level of satisfaction and loyalty.
  • Provide personalized philanthropic advising, including insights on international giving trends, global nonprofit landscapes, and impact opportunities.
  • Oversee all aspects of donor communication, including validation updates, grantmaking processes, and fund activity reports.


Grantmaking Execution and Fund Management

  • Coordinate the full lifecycle of international grantmaking, ensuring compliance with regulatory requirements, internal policies, and client expectations.
  • Supervise and mentor support staff responsible for fund data management, ensuring accuracy in transaction tracking, invoicing, and donor correspondence.
  • Forecast and manage fund activity, including budget projections and financial reporting based on donor engagement and historical trends.


Donor Insights and Strategy

  • Analyze donor trends, service data, and feedback to inform strategies for donor retention, service enhancements, and long-term relationship growth.
  • Participate in cross-departmental initiatives to improve donor services, enhance operational efficiency, and contribute to organizational growth.
  • Maintain up-to-date knowledge of donor-advised fund regulations, global philanthropy trends, foreign charity requirements, and compliance practices.
  • Collaborate closely with internal teams across departments to support donor goals and deliver seamless philanthropic experiences.
  • Promote a culture of excellence, professionalism, and continuous learning within the Donor Services team.


Qualifications:

  • Bachelor’s degree (B.A./B.S.) preferred; equivalent combination of education and relevant experience considered.
  • 3–4 years of related experience, including at least 2 years in a client-facing, customer service, or philanthropic services role.
  • Demonstrated expertise in relationship management, client communication, and resolving escalated issues with professionalism.
  • Strong organizational and project management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills; proficiency in additional languages (e.g., Spanish, French) is a plus.
  • Technological proficiency in Microsoft Office Suite, Google Workspace, CRM systems (e.g., Salesforce), and grants management software (e.g., CyberGrants, iPhi Core).
  • High attention to detail, discretion, and the ability to handle sensitive information with integrity.
  • Knowledge of anti-money laundering (AML), anti-terrorist financing (ATF), and international grantmaking regulations preferred.

Salary Range - $65,000-$70,000
