Job Description
The UMKC School of Dentistry Office of Student Programs is seeking an experienced, computer savvy, customer-service focused Office Support Assistant to join their collaborative, team environment. This individual must have excellent communication skills and be able to provide strong technical and administrative support.This individual serves as the "front door" for every applicant and student in the School of Dentistry.A welcoming presence focused on serving guest, students, staff and faculty is required.Duties include but are not limited to:
- Overseeing room scheduling and setup within the SOD. Hanging room signage and being aware of room maintenance needs.
- Answering and routing incoming correspondences including mail, phone calls and emails.
- Managing calendars, scheduling appointments, confirming room reservations, arranging meetings, sending meeting invitations, ordering food, and following through on special request.This includes managing centralized calendars for department and school.
- Scheduling and confirming interview dates and times for prospective candidates applying to degree programs.
- Assisting with prospective student shadowing experiences.
- Assisting with data entry of prospective students into databases.
- Assisting with event planning and serving as support staff for programs of the Office of Student Programs and SOD.This includes programs such as the New Student Orientation, Scholarship Banquet, Honor Luncheons, Graduation, Mentor Programs, Perspective Student Programs, Transitioning into the Profession ceremony and Midwest Dental Conference.
- Overseeing incoming and current student immunization and CPR records in Validity DMS. Ensuring student tasks are completed as they get ready to enter the Dental and Dental Hygiene programs.
- Supporting SOD student organizations and maintaining updated officer listing.
- Managing credit card for student organizations and ensuring policies and procedures are followed by student organization representatives.Submitting and accounting for receipts on a monthly basis to the Office of Student Involvement.
- Managing the Office of Student Programs department credit card, ensuring policies and procedures are followed.Submitting and accounting for receipts on a monthly basis to the Procurement Department.
- Overseeing annual "Images Photo Contest."
- Facilitating correspondence and postings for the Career Opportunity site/Handshake.
- Assisting SOD Building Liaison with building access to the SOD and serving as liaison to OneCard Office and Campus Police.
- Managing mailbox, locker, and bench assignments for first and second year dental students.
- Scanning and electronic filing of student records.
- Supporting annual "Vendor & Career Fair" and partnering with student organizer.
- Composing and distributing minutes of meetings.
- Overseeing bulletin boards and approving postings.
- Ordering supplies and equipment and maintaining adequate stock of departmental supplies and equipment.
- Making photocopies.
- Supporting all functions and personnel of the Office of Student Programs.
Other duties as requested.
Shift
This position is scheduled 8:00 AM - 4:30 PM, Monday through Friday.
On rare occasions, this position will have some evening/weekend work required on an as needed basis.
Minimum Qualifications
High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary Education or training beyond high school may be substituted for experience.
Preferred Qualifications
An associate's degree or an equivalent combination of education and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range
Starting compensation range is from $17-19 an hour and will be commensurate with experience.
