Job description

Job Title: Office Services Specialist/Field Support Specialist (On Call)

Reports To:

The Office Services Specialist (On Call) reports to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview:

The Office Services Specialist (On Call) provides office and mail services on a "floating" basis for roles where regular employees are out of office or during specific projects requiring additional coverage. Responsibilities include assisting with mail, reception, hospitality, facilities, copy/print, and similar functions. This position is based in a designated "home office" but may be dispatched to various client sites on short notice. Flexibility and adaptability are essential.

The role aims to deliver high-level service to all client and SPS employees while maintaining a professional image through prompt, courteous, and efficient service.

Responsibilities:
  1. Deliver excellent customer service in all communications.
  2. Answer calls and greet visitors professionally.
  3. Assist with light facilities duties, such as troubleshooting, ordering supplies, and stocking kitchens.
  4. Manage inbound and outbound mail and packages, including input into chain of custody software.
  5. Handle shipping and receiving tasks.
  6. Notify employees of inbound deliveries and distribute mail/packages.
  7. Support office moves and assist with copy/print orders and equipment monitoring.
  8. Help set up/take down conference rooms for meetings/events.
  9. Proactively seek additional tasks during downtime.
  10. Build professional relationships and maintain composure and professionalism.
  11. Train backup staff and guide on policies and procedures.
  12. Handle sensitive inquiries appropriately and provide front office coverage as needed.
  13. Communicate effectively verbally and in writing.
  14. Manage multiple tasks efficiently and stay organized.
  15. Operate office machinery and understand shipping/receiving procedures.
  16. Work independently and complete assigned projects.
  17. Determine appropriate packing methods and validate incoming/outgoing shipments.
  18. Work flexible hours as required.
Qualifications:
  1. High School Diploma or equivalent.
  2. Preferred 6+ months of prior work experience.
  3. Ability to work scheduled hours as determined by management.
  4. Strong organizational, problem-solving, and communication skills.
  5. Knowledge of computer systems relevant to the role.
  6. Professional appearance and attitude, adherence to policies.
Physical Demands:
  • 50% of the time involves physical activity including lifting (up to 60 lbs), walking, bending, kneeling, standing, sitting, and operating office equipment.
Travel:

None or minimal.
