Office Service Coordinator | Washington, DC | On-Site, 5 Days per Week

This is an exciting early-career opportunity to play a central role in a dynamic corporate professional services environment, while building a foundation for your career. You’ll work across office operations, events, employee experience, technology, and facilities, and gain exposure to various corporate service departments. Giving you the chance to develop a wide range of skills, discover what interests you, and explore different career paths. If you’re adaptable, organized, proactive, and someone who enjoys figuring things out, this Office Services Coordinator role may be for you!

About Brailsford & Dunlavey

Brailsford & Dunlavey (B&D) is a national planning, development, and program management advisory firm dedicated to bringing communities to life through the places where people live, learn, work, and play.

We partner with educational institutions, municipalities, and organizations across the country on complex projects that shape communities and create lasting impact. Behind that work is a team that values collaboration, curiosity, entrepreneurship, inclusion, and an unrelenting drive for excellence.

The Opportunity

We’re looking for an Office Services Coordinator to help keep our Washington, DC office running smoothly and create a positive experience for employees, visitors, and partners.

This is a highly varied role. One day you may be coordinating a team gathering or preparing for an office event; the next, you may be troubleshooting a meeting room issue, coordinating a shipment, working with building management, supporting a new employee’s first day, or helping a team member navigate a corporate-services request.

You’ll be a central resource for the office,. This opportunity could be a great fit for an early-career professional who wants to learn by doing, enjoys variety, and hasn't decided on a single career path yet. We’re looking for someone who is curious about how things work, takes initiative, and is excited to become the person others can count on to keep things moving.

This role is ideal for someone who likes variety, takes initiative, and doesn't need to be told exactly what to do at every step. You’ll have a broad scope of responsibility and plenty of opportunities to learn the business, build relationships, and take ownership of how the office operates.

Your Day-to-Day
Office Operations & Workplace Experience

Help create an organized, professional, and welcoming office environment by:

Serving as a welcoming first point of contact for visitors and incoming communications.

Managing mail, packages, shipments, office supplies, kitchen supplies, and vendor relationships.

Monitoring invoices and office-related expenditures for accuracy.

Keeping office documents, records, and shared resources organized and up to date.

Coordinating with property management, building engineers, and vendors to address maintenance, access, housekeeping, and other facility needs.

Monitoring the office environment and troubleshooting issues as they arise.

Supporting initiatives designed to increase employee engagement and connection within the physical office.

Meetings, Events & Employee Experience

Help bring meetings and gatherings to life by coordinating:

Team meetings, workshops, lunches, happy hours, and other employee gatherings.

Summer outings, holiday celebrations, industry functions, and special events.

Venues, catering, vendors, invitations, RSVPs, room setup, and other event logistics.

Meeting technology, including remote communication tools and conference room equipment.

Training and resources that help employees use meeting technology effectively.

Employee Onboarding & Offboarding

Help create a smooth experience for employees joining or leaving B&D by:

Coordinating onboarding activities with HR and IT.

Ensuring equipment, system access, business cards, supplies, and other materials are ready for new hires.

Coordinating first-day orientations and introductions.

Supporting equipment returns and administrative access changes during offboarding.

Corporate & Firmwide Support

Provide administrative support across the organization by:

Scheduling meetings, performance reviews, and other activities.

Preparing correspondence, documents, and presentations.

Supporting marketing proposals and other corporate initiatives.

Conducting research and assisting with special projects.

Working with regional offices to facilitate communication and consistent administrative support.

Serving as a resource to employees who need help navigating corporate-services tasks.

Keeping leadership informed of potential issues or concerns.

What We’re Looking For

We’re looking for someone who is organized and detail-oriented, but also comfortable figuring things out when the answer isn't immediately obvious. The strongest candidates will bring:

Adaptability & problem-solving: You can troubleshoot issues, adjust when priorities change, and find practical solutions when unexpected situations arise.

A self-directed work style: You’re proactive, comfortable working independently, and able to manage competing priorities without needing constant direction.

Strong coordination & organization: You can keep track of multiple details, deadlines, vendors, and logistics—especially when coordinating events, meetings, and employee gatherings.

Attention to detail: You understand that the small things matter, whether you're reviewing an invoice, coordinating a shipment, preparing for an event, or managing office documentation.

A personable approach: You enjoy working with people, build positive relationships naturally, and contribute to a welcoming and professional office environment.

Strong communication skills: You can communicate clearly and professionally with employees, leadership, vendors, building management, and regional teams.

Good judgment: You know when to handle something independently, when to ask questions, and when an issue needs to be escalated.

Learning agility: You’re comfortable learning new systems, tools, and processes and adapting as the needs of the office evolve.

Qualifications

2+ years of experience in office administration, office coordination, workplace services, or a similar role; experience in a professional services environment preferred.

Proficiency with Microsoft Office, including Word, Excel, and PowerPoint; Microsoft Project is a plus.

Strong written and verbal communication skills, including proofreading and professional correspondence.

Excellent organizational and time-management skills.

Demonstrated ability to manage multiple priorities in a fast-paced environment.

Strong internal customer-service orientation.

What Makes This Role Different

Every day is different: You’ll work across office operations, employee experience, events, technology, facilities, and corporate services rather than focusing on one narrow administrative function.

You’ll have real ownership: This role requires someone who can see what needs to be done, figure out how to get it done, and keep things moving.

You’ll work across the organization: Build relationships with employees, leadership, HR, IT, regional offices, vendors, and property management.

You’ll shape the workplace experience: Your work directly influences how people experience the office, from their first day at B&D to the meetings, events, and everyday interactions that bring our culture to life.
