Job summary

Brailsford & Dunlavey, Inc. is seeking an Office Service Coordinator in Washington, DC. This on-site role supports office operations, events, and employee experience, ensuring a welcoming environment and smooth daily functioning.

You will work across office operations, meetings and events, onboarding, and corporate support. The ideal candidate is organized, proactive, and able to manage multiple priorities in a fast-paced professional services setting.

Qualifications

  • 2+ years of experience in office administration, office coordination, workplace services, or a similar role.
  • Experience in a professional services environment preferred.
  • Strong written and verbal communication skills.

Your Day-to-Day
Office Operations & Workplace Experience
Help create an organized, professional, and welcoming office environment by:
  • Serving as a welcoming first point of contact for visitors and incoming communications.
  • Managing mail, packages, shipments, office supplies, kitchen supplies, and vendor relationships.
  • Monitoring invoices and office-related expenditures for accuracy.
  • Keeping office documents, records, and shared resources organized and up to date.
  • Coordinating with property management, building engineers, and vendors to address maintenance, access, housekeeping, and other facility needs.
  • Monitoring the office environment and troubleshooting issues as they arise.
  • Supporting initiatives designed to increase employee engagement and connection within the physical office.
Meetings, Events & Employee Experience
Help Bring Meetings And Gatherings To Life By Coordinating
  • Team meetings, workshops, lunches, happy hours, and other employee gatherings.
  • Summer outings, holiday celebrations, industry functions, and special events.
  • Venues, catering, vendors, invitations, RSVPs, room setup, and other event logistics.
  • Meeting technology, including remote communication tools and conference room equipment.
  • Training and resources that help employees use meeting technology effectively.
Employee Onboarding & Offboarding
Help create a smooth experience for employees joining or leaving B&D by:
  • Coordinating onboarding activities with HR and IT.
  • Ensuring equipment, system access, business cards, supplies, and other materials are ready for new hires.
  • Coordinating first-day orientations and introductions.
  • Supporting equipment returns and administrative access changes during offboarding.
Corporate & Firmwide Support
Provide Administrative Support Across The Organization By
  • Scheduling meetings, performance reviews, and other activities.
  • Preparing correspondence, documents, and presentations.
  • Supporting marketing proposals and other corporate initiatives.
  • Conducting research and assisting with special projects.
  • Working with regional offices to facilitate communication and consistent administrative support.
  • Serving as a resource to employees who need help navigating corporate-services tasks.
  • Keeping leadership informed of potential issues or concerns.

Qualifications
  • 2+ years of experience in office administration, office coordination, workplace services, or a similar role; experience in a professional services environment preferred.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint; Microsoft Project is a plus.
  • Strong written and verbal communication skills, including proofreading and professional correspondence.
  • Excellent organizational and time-management skills.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • Strong internal customer-service orientation.
