Job summary

Valar Atomics is seeking an Office Services Coordinator to create a welcoming and efficient workplace in Orangeville, Utah. You will manage breakroom supplies, coordinate meetings, and assist with VIP visits while supporting executives and employees with a high level of service.

The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Purchase, stock, and maintain office snacks, beverages, and breakroom supplies.
  • Monitor inventory levels and reorder office supplies as needed.
  • Keep common areas, breakrooms, conference rooms, and workspaces tidy and presentable.
  • Coordinate meeting and conference room setup, including refreshments and supplies.
  • Assist with planning for executive, customer, government, and VIP visits; coordinate meals and room setups.
  • Help organize employee events, celebrations, lunches, and other company functions.
  • Coordinate grocery shopping and vendor pickups for office needs.
  • Receive, organize, and distribute office deliveries and shipments.
  • Perform regular walkthroughs of office spaces to identify areas needing attention and ensure a welcoming environment.
  • Work with Facilities and People Operations to support workplace needs and projects.

The Role

The Office Services Coordinator plays a key role in creating a welcoming, organized, and efficient workplace. This position is responsible for maintaining office spaces, coordinating workplace services, ensuring breakrooms and supplies are fully stocked, and supporting special events and VIP visits. The ideal candidate is highly organized, service-oriented, and enjoys creating an exceptional experience for employees and guests.

Key Responsibilities
  • Purchase, stock, and maintain office snacks, beverages, and breakroom supplies.
  • Monitor inventory levels and reorder office supplies to ensure departments have the materials they need.
  • Keep common areas, breakrooms, conference rooms, and employee workspaces tidy, organized, and presentable throughout the day.
  • Coordinate meeting and conference room setup, including refreshments and supplies as needed.
  • Assist with planning and preparing for executive, customer, government, and VIP visits by coordinating meals, room setups, welcome materials, and overall site readiness.
  • Help organize employee events, celebrations, lunches, and other company functions.
  • Coordinate grocery shopping and vendor pickups for office and workplace needs.
  • Receive, organize, and distribute office deliveries and shipments.
  • Perform regular walkthroughs of office spaces to identify areas needing attention and ensure a clean, welcoming environment.
  • Work closely with Facilities, People Operations, and other departments to support workplace needs and special projects.
  • Assist with additional administrative and office support duties as assigned.
Basic Qualifications
  • High school diploma or equivalent.
  • Excellent organizational and time management skills.
  • Strong attention to detail.
  • Excellent customer service and communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
  • Ability to lift up to 30 pounds and perform occasional errands throughout the workday.
Preferred Skills and Experience
  • Previous experience in office administration, hospitality, workplace services, or facilities support.
  • Experience managing inventory or purchasing supplies.
  • Strong problem-solving abilities.
  • Professional demeanor when interacting with employees and visitors.
  • Ability to anticipate workplace needs before they arise.
  • Flexible and willing to assist wherever needed.
