This role is a central point of contact for jobsite operations—ensuring efficient daily execution, a positive employee experience, and compliance with onboarding and safety requirements. The position requires strong organization, responsiveness, and the ability to manage multiple priorities in a fast-paced, early-start environment.QUALIFICATIONS:Required:High school diploma or GED1–3 years of administrative or office support experiencePreferred:2+ years of administrative experienceConstruction or jobsite experienceBilingual (Spanish/English)Skills:Strong organizational and time management skills with a high level of accuracy and attention to detailAbility to manage multiple priorities and meet deadlines in a fast-paced environmentEffective verbal and written communication skills, including ability to support English/Spanish translation as neededAbility to work independently with initiative while supporting multiple project managers and stakeholdersStrong customer service mindset with problem-solving capabilitiesProficiency in Microsoft Office (Outlook, Excel, Word) and ability to quickly learn systems such as Procore, HammerTech, and EyrusAbility to maintain accurate records and perform data entry across multiple systemsStrong interpersonal skills with the ability to build and maintain relationships across field and office teamsPositive attitude with a strong work ethic and willingness to take initiativeAdaptability and flexibility to respond to changing priorities and schedulesAbility to handle confidential information with discretion and professionalismCORE RESPONSIBLITIES:Office & Operational SupportManage daily office operations including stocking kitchen areas, monitoring inventory, and coordinating supply purchases (office, food, and cleaning)Coordinate mail, shipments, deliveries, and general office logisticsMaintain internal contact lists, schedules, job codes, and distribution groupsReconcile purchasing card transactions and maintain accurate recordsSupport leadership and visitors with logistics, reservations, and general coordinationPerform errands and miscellaneous operational support as neededMay be responsible for performing company database or system administration tasks, and data input.Onboarding & employee ExperienceCoordinate onboarding logistics, prepare workspaces, and welcome new employeesConduct daily new hire orientations (including large groups) and additional sessions for alternate shiftsEnsure completion of required training, documentation, and system entry (Procore, HammerTech)Issue badges, parking permits, and provide access support; troubleshoot badge issues as neededCoordinate employee logistics including travel, housing, IT equipment, and onboarding materialsSafety & Workforce ComplianceProvide Spanish translation support for safety meetings and jobsite communicationLead safety orientations for Spanish-speaking employees, including LOTO and commissioningDistribute PPE and manage related inventory and orderingProvide training and support safety systems and processes, including entering data in HammerTech and managing Eyrus accessAssist with safety communications, alerts, and incident support (including camera review)Track training (e.g., UTV certification) and maintain compliance recordsPrint and issue employee badgesDistribute PPEProject & Field SupportProvide administrative support to project teams including document coordination and communicationMaintain project documentation and assist with document control systemsCoordinate with field leadership on jobsite needs, supplies, and resourcesBack-Up Project Management SupportProcess, organize, copy and file project management related forms and documents, including, but not limited to Bidding Process, Preconstruction support to estimating team & project team, Processing of Submittals, RFI’s, Project Schedule Updates.Project team correspondence and communicationsKeep current set of plans updatedEvents & EngagementCoordinate jobsite meetings, meals, and events including safety week, team-building activities, and employee appreciation effortsManage catering, food orders, and event logisticsSupport wellness initiatives and employee engagement activitiesAdditional ResponsibilitiesParticipate as an active member of the McGough Team.
