Job summary

Tacoma Public Schools is seeking an Office Assistant to support the Principal and school staff. You will provide quality customer service to students, parents, staff, and the public, handling phones, mail, forms, and document distribution.

The role requires strong communication, confidentiality, and teamwork, with familiarity with school data systems and the ability to learn new processes. This is a 1.0 FTE, 8 hours per day, 10-month position.

Qualifications

  • High School graduation or equivalent; experience with children and the public in an educational setting preferred.
  • Ability to maintain confidentiality and provide high quality customer service.
  • Familiarity with school data systems and general office procedures.

Responsibilities

  • Provide school office assistance; answer calls, duplicate materials, sort mail, and distribute documents.
  • Assist with counter work; greet inquiries and help complete forms for quality customer service.
  • Contact parents by phone as needed to provide information and support.
  • Access student information systems (Synergy) for duties and information accuracy.

Salary Level:OP 4 no degree: $29.02 - $39.04

OP 4 with AA or higher degree: $29.31 - $39.33

Union/Work Year: Office Professionals; 10-month; 194 work days

SUMMARY

This position provides general office assistance to the Principal and office staff in assigned school office, provides support and quality customer service to students, parents, staff, and the public.

ESSENTIAL JOB FUNCTIONS
  • 1.Provides school office assistance; answers telephone and takes messages; duplicates materials; sorts mail; distributes bulletins, meeting minutes, and/or other documents, as assigned for the purpose of providing support and quality customer service.
  • 2.Assists with counter work; greets and answers inquiries from students, parents, staff, and the public; may assist in filling out and completing forms for the purpose of providing quality customer service.
  • 3.Assists in contacting parent(s)/guardian(s) by telephone, as needed, for the purpose of providing quality customer service.
  • 4.Has system access to the student information system (Synergy) and other school-based systems for the purpose of performing assigned duties and providing accurate information and support.
OTHER JOB DUTIES
  • 1.Maintains and updates knowledge and skills necessary for success in the position by participating in professional development activities, as needed or as assigned; attends building staff meetings; participates in staff development training as needed or as assigned.
  • 2.Performs related duties as assigned, on a temporary basis.
  • 3.Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.
CONDITIONS

School office environment; experiences frequent interruptions; may occasionally deal with difficult or distraught people; may be exposed to infectious diseases; may be required to walk, sit, squat, crawl, kneel, crouch, twist, bend.

MINIMUM QUALIFICATIONS
Education and Experience

High School graduation or equivalent; experience in dealing with children and the public;preferably in an educational setting;or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Licenses/Special Requirements

May be required to obtain first aid certificate or CPR training.

Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance

Knowledge, Skills and Abilities
  • Knowledge of general office procedures.
  • Knowledge of correct grammar, spelling and English usage.
  • Knowledge of or ability to learn and use student information systems such as Synergy, and other school-based data systems.
  • Skill in obtaining, clarifying, and exchanging information.

  • Ability to maintain confidentiality.
  • Ability to organize and prioritize work.
  • Ability to demonstrate reasonable, reliable and regular attendance.

  • Ability to feed, diaper, and provide toileting or other personal assistance to students.
