Primary Purpose:

The Office Manager executes and monitors clerical and administrative support with minimal supervision, serving a primary role in the processing of campus financial transactions, implementing office processes and systems, and assisting with communication to families and staff. This position reports to the campus Operations Director or Associate Operations Manager, who will participate in their performance evaluations.

Duties/Responsibilities:
  1. Ensures purchasing, ordering, cash handling and other financial practices for the campus are compliant and effective.
  2. Including timecard review; temporary worker and carline officer pay, postage meter systems, etc.
  3. Ensures instructions for creating requisitions and check requests are followed in line with Finance Department requirements.
  4. Ensures there is a system for deliveries to be quickly and efficiently received and delivered to appropriate staff members on campus.
  5. Other duties as assigned by Operations leadership on campus.
  6. Facilitates customer satisfaction for parents, teachers, and academic leaders in line with our World Class Support mission.
  7. Implements and adjusts office systems and processes in coordination with campus leadership to improve experiences for key stakeholders and customers.
  8. Supports reception desk coverage and follows communication protocols on campus.
  9. Assists with administrative office functions including managing shared spaces and calendars, office supply inventory, event and field trip requests, filing systems, and other support needs.
  10. Tailors support to best meet academic leader needs and communication styles.
Qualifications:
Education, Experience, And/or Certification(s):
  • High school diploma or GED; AAS degree preferred.
  • Minimum 2 years as an Office Manager, Administrative Assistant to Department Heads/Executives, or similar role.
  • Exceptional organization skills, attention to detail, financial management skills, self-motivation, ability to thrive in a fast-paced environment, strong problem-solving skills, and a commitment to excellence.
Required Skills/Abilities:
  • Strong written and verbal communication skills.
  • Bi-lingual in Spanish preferred but not required.
  • Strong computer skills; familiar with Microsoft Office Suite and able to learn new applications quickly.
Physical Demands/Environmental Factors:

Regularly required to sit, talk, hear, feel, touch, reach, stand, walk, and use stairs. Occasionally lift up to 30 pounds. Specific vision abilities include close and distance vision, depth perception, and focus adjustment.

Work Environment:

Close proximity to others, frequent interruptions, extended computer use, noise levels from moderate to high, activity from staff and students, and outdoor work in varied weather conditions for carline support.

Starting salary:
$38,500
