What will you do in this role?

Manages the front desk by performing the following duties:

  • Answers incoming telephone calls and forwards calls to appropriate team members or department.
  • Answers questions about Oakwood and provides callers with address, directions, and other information.
  • Welcomes visitors, determines the nature of business, and announces visitors to appropriate team members. Always offers a beverage to guests.
  • Ensures lobby/front desk areas are in orderly condition and presentable to visitors.
  • Schedules and/or updates meeting room calendars.
  • Receives, sorts, and distributes mail, as well as prepares outgoing mail or courier services as requested.
  • Maintains organization in the Café, Galley, and mailroom/supply room.
  • Inventories, orders, and organizes supplies such as coffee, private label bottled water, office supplies, janitorial supplies, and lobby candy as necessary and upon request.
  • Takes care of Oakwood Bucks to ensure team members receive points earned.
  • Places flower orders on behalf of Oakwood for births, deaths, illnesses upon request.
  • Notifies associates of deliveries at the front desk.
  • Processes invoices to DocuWare for payment.
  • Works with the onsite chef to coordinate breakfast/lunches in his absence.
  • Super-files inventory for copier supplies and Toshiba monthly, or as needed. Communicates with Toshiba on maintenance/service issues.
  • Performs other duties as needed.

Maintains compliance with all company policies and procedures.

You Have:

  • Two plus years’ previous experience managing a busy front desk/reception area in a corporate environment, or similar experience in a customer-facing role.
  • Requires a proactive, independent individual with strong customer service skills and high focus and attention to detail.
  • Knowledge of MS Office – Word, Excel, Microsoft Teams, and Outlook.
  • Demonstrated confidentiality in previous work.
  • Good verbal and written communication skills, including the ability to communicate with internal and external customers.
  • Familiarity with handling customer concerns, sometimes negative. Ability to remain professional in all interactions.
  • Ability to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service and professionalism – ‘Director of First Impressions’.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Ability to engage in a multi-cultural environment, often a buyer, homeowner, or trade partner is not fluent in English and there is a language barrier.

Notary Public credentials preferred or willingness to get credentials immediately after hire (online class).

  • Must be able to lift and carry up to 25 pounds.
  • Must be able to talk, listen, and speak clearly.
