Wage: $25 to $28 per hour
Schedule: 9AM-5PM, Monday- Friday

Reports To: Program Director

The Office Manager is responsible for coordinating administrative operations and supporting the daily functions of the Child Advocacy Center (CAC), ensuring efficient office management while maintaining a child-focused, trauma-informed environment. The Office Manager also serves as the liaison to co-located MDT partner agencies on administrative matters, coordinates financial processing with Finance, acts as the safety liaison for the facility, and assists with planning officewide events and activities.

What You'll Be Doing

  • Oversee daily administrative operations of the Child Advocacy Center.
  • Coordinate office functions, including records management, workflow coordination, and general administrative processes.
  • Serve as the primary administrative liaison to co-located MDT partners and respond to facility or office-related issues raised by partner staff.
  • Monitor and coordinate office space use, equipment needs, and shared resource utilization for all CAC personnel.
  • Coordinate with EAC Network Operations & Infrastructure for facility maintenance, safety drills, inspections, and vendor services.
  • Act as the site safety liaison for the CAC, including maintenance of safety procedures, equipment, drills, and compliance documentation.
  • Assist in preparing payment requests, processing invoices, and submitting financial documentation to the Finance Department.
  • Monitor office expenses, ensure timely submission of financial paperwork, and track procurement activity for administrative purchases.
  • Maintain office supply inventory and coordinate procurement of office materials and equipment.
  • Assist with data collection and entry into agency databases for administrative reporting and compliance purposes.
  • Coordinate logistics and preparation for officewide events, trainings, and special meetings.
  • Perform other related duties as assigned by the CAC Director and EAC Network Administration.

Knowledge, Skills And Abilities Required:

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Office management experience required.
  • Strong knowledge of administrative procedures, office systems, and workflow coordination.
  • Proficiency with Microsoft Office applications, spreadsheets, database systems, email, and scheduling software.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Bilingual English/Spanish strongly preferred.
  • Valid NYS driver’s license and access to automobile required.
