The Office of Advancement in the College of Liberal Arts & Sciences is searching for an Office Manager responsible for coordinating all administrative functions for the Director of Special Events and several major gift officers. The incumbent reports to the Directors of Development and the Director of Special Events for daily tasks, and to the Administrative Aide for general staff support and office management.

Duties & Responsibilities
Administrative Support
  • Coordinate preparations for college/department events.
  • Compile guest lists and maintain spreadsheets for events.
  • Produce name badges.
  • Assemble event registration packets.
  • Confirm catering/facility arrangements and make changes as necessary.
  • Assist with setup and help during events.
  • Must be available to work some weekends and/or evenings.
  • Create emails and forms in Webtools for events.
  • Run reports in Webtools for the director for each event.
  • Anticipate needs for events and directors and proceed accordingly.
  • May involve lifting up to 25 lbs. occasionally.
Additional Responsibilities
  • Coordinate travel arrangements for Directors.
  • Maintain contact with staff in the College, U of I Foundation, and other units.
  • Use TED database for confidential alumni records.
  • Prepare confidential materials for Directors.
  • Screens and directs calls.
  • Manage Directors' calendars.
  • Maintain and update confidential files.
  • Assist with meetings and travel needs.
  • Run queries in TED for reports and lists.
  • Provide backup support for clerical staff.
  • Perform other duties as assigned.
Financial Support
  • Produce expense reports with proxy authority.
  • Enter P-card and T-card charges for reconciliation.
Required Qualifications
  • High school diploma or equivalent.
  • Two years of work experience comparable to the third level of this series.
Successful Candidates will have:
  • Strong interpersonal and communication skills.
  • Ability to work independently, take initiative, and make decisions.
  • Excellent organizational and proofreading skills.
  • Commitment to creating an inclusive environment.
  • Knowledge of travel logistics, office procedures, and Microsoft Office.
  • Accurate clerical skills and proper grammar, spelling, and punctuation.
Appointment Information
