Job summary

DOCS Dermatology Group is seeking an Office Manager to lead daily operations, oversee both clinical and non-clinical staff, and ensure a seamless patient experience in a busy dermatology practice.

Responsibilities include budget management, policy implementation, staffing, and collaborative work with regional managers and clinicians to meet office goals.

Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in healthcare management, business, or related field preferred.
  • Familiarity with ModMed, EMA, EMR preferred.
  • Thorough understanding of HIPAA laws and guidelines.
  • Works well independently and has strong operational skills.
  • Learns quickly and has strong problem-solving and critical thinking skills.

Responsibilities

  • Hire and onboard administrative and clinical staff.
  • Supervise, train, coach, and evaluate administrative and clinical staff.
  • Create and maintain staffing schedules to optimize provider schedules and manage PTO.
  • Supplement staffing by performing clinical duties as needed and assisting providers.
  • Oversee time sheet details to ensure payroll processes are timely and accurate.
  • Foster a positive patient experience while ensuring regulations and standards are followed.
  • Collaborate with nurses, providers, and executives.
  • Partner with regional managers to set goals, objectives, and budgets.
  • Use EMR, billing, scheduling, and timekeeping software.

Summary

An Office Manager is a leadership role, critical to the success of our team and the satisfaction of our patients. In addition to providing patient care, this role oversees all aspects of the daily operations within the medical office and will be focused on managing both clinical and non-clinical employees, overseeing the financial budget for the office, ensuring a positive patient experience, and managing inventory.

Job Responsibilities
  • Implement office policies and procedures.
  • Hire and onboard administrative and clinical staff.
  • Supervise, train, coach, and evaluate administrative and clinical staff.
  • Create and maintain the staffing schedule to optimize provider schedules, minimize gaps in coverage, and manage paid time off requests.
  • Frequently supplements staffing headcount by working as a direct part of the patient care team by performing clinical duties to assist providers or working as a Medical Assistant or Receptionist.
  • Oversee and approve time sheet details to ensure payroll processes timely and accurately.
  • Foster a positive patient experience while ensuring regulations, guidelines, and standards are followed.
  • Collaborate with nurses, providers, and executives.
  • Partner with regional managers to set goals, objectives, and budgets for the office.
  • Use popular software for electronic medical records (EMR), billing, scheduling, and accurate timekeeping.
  • All other duties as directed and assigned.
Minimum Qualifications
  • High school diploma or equivalent, associate or bachelor’s degree in healthcare management, business, or related degree is preferred.
  • Familiarity with ModMed, EMA, EMR preferred.
  • Thorough understanding of HIPAA laws and guidelines.
  • Works well independently and has strong operational skills.
  • Learns quickly and has strong problem-solving and critical thinking skills.
  • Develops strong relationships with coworkers and has strong leadership skills.
  • Communicates effectively and has strong verbal and written communication skills.

Physical Demands
