Job Summary

The Office Manager will partner with the Chair in the administrative and overall management of the Department of Health Promotion and Policy (HPP).

Essential Functions
  1. Hire, train, supervise, and evaluate non-exempt and student staff. Address issues related to employee retention, onboarding, work environment, workload, and professional development.
  2. Collaborate with the Chair on special projects, including departmental strategic planning.
  3. Provide administrative support for the chair and faculty, including maintaining office equipment, ordering supplies, distributing mail, overseeing course scheduling, and managing course-related work and student evaluations.
  4. Develop and implement administrative procedures to ensure departmental efficiency and goal achievement.
  5. Communicate proactively with the chair regarding faculty, staff, and student issues, and recommend solutions.
  6. Assist in coordinating teaching assignments and contracts for instructors and teaching assistants.
  7. Manage department budgets, including creating systems, generating financial reports, and overseeing expenditures to ensure compliance and accuracy.
  8. Handle personnel administration, including processing departmental personnel actions and coordinating faculty reviews, promotions, and leaves.
  9. Work with the Chair on space and facility planning, including space allocations and renovations.
  10. Manage faculty and staff search processes, including job postings, interviews, and financial oversight.
  11. Perform other duties as assigned to meet department and university goals.
Minimum Qualifications
  • Bachelor's degree and two years of experience in human resources, finance, or business administration.
  • Experience developing and managing budgets.
  • Strong interpersonal and communication skills, with the ability to collaborate with diverse populations.
  • Commitment to inclusion and understanding of diverse cultures and identities.
  • Ability to understand and apply office policies and procedures.
  • Attention to detail and organizational skills.
  • Initiative, independence, and problem-solving skills.
  • Intermediate proficiency in Microsoft Office Suite.
  • Ability to manage confidential information and exercise judgment.
  • Experience supervising student employees.
Preferred Qualifications
  • Experience with business operations, financial tasks, and budgeting.
  • Experience with UMass administrative systems such as SPIRE, PeopleSoft, etc.
  • Master's degree in related fields.
  • Previous supervisory experience.
Physical Demands/Working Conditions

Typical office environment.

Work Schedule

Monday - Friday, 8:30 am - 5:00 pm, with occasional nights and weekends. Hybrid work schedule available.

Salary

Level 25, PSU Hiring Ranges.
